The role of the VA School Certifying Official is pivotal in overseeing the VA certifications at Hutchinson Community College. Key Responsibilities:
- Manage the US Department of Veterans Affairs (VA) Educational Benefits at HutchCC.
- Offer financial and academic guidance to veteran students, including:
- Keeping the VA updated on the enrollment status of veterans and eligible individuals.
- Informing the State Approving Authority as necessary.
- Assisting veterans in the application process for benefits.
- Creating schedules aligned with certificate and degree requirements.
- Maintaining accurate records and communicating responsibilities to students.
- Facilitating smooth transitions into college systems and career paths.
- Notify supervisors of any internal issues that may impact services provided to VA students.
- Stay informed about current VA regulations and benefits.
- Maintain comprehensive records of VA students and ensure availability for inspections as required.
- Support new and returning students throughout their enrollment process, including reporting necessary student data to the VA for funding processing.
- Certify veteran student benefits while staying knowledgeable about eligibility criteria.
- Act as the primary contact for inquiries regarding Veteran Education benefits from students and VA representatives.
- Adjust and manage VA certifications to accurately reflect current student courses.
- Reconcile financial records with VA benefits and various funding sources.
- Oversee and submit enrollment and billing information for the MYCAA Program.
- Handle enrollment and billing information for Tuition Assistance Programs across all military branches.
- Adhere to all Federal, State, accreditation, and institutional policies and procedures.
- Prepare operational tracking reports as needed by management.
- Assist with audits, file reviews, and other regulatory obligations as required.
- Gather necessary documentation for file completion.
- Update relevant systems with essential student information.
- Ensure that enrollment certifications comply with Degree Plan Requirements.
- Maintain punctuality and regular attendance while fulfilling job responsibilities.
- Follow HutchCC policies, procedures, and practices diligently.
- Actively participate in campus committees.
Additional Responsibilities:
- Complete training for Academic Advising and maintain certification.
- Develop and implement intervention strategies to address attendance issues and resource limitations.
- Maintain advising and career counseling resources, assisting with course schedules and enrollment planning.
- Verify student placements and enrollments, ensuring all prerequisites are met.
- Keep an updated schedule, communicate changes after advising sessions, and coordinate testing and appointments.
- Utilize various communication methods (e.g., virtual, text, call, chat, face-to-face, and email).
- Educate students on academic decisions and their potential impacts.
- Engage in professional development to stay current with advising technologies.
- Provide suggestions for continuous improvement in service areas to enhance student retention and completion rates.
- Perform other duties as assigned by the Director or Assistant Director of Financial Aid.
Qualifications:
Required:
- Associate Degree.
- One year of experience in VA certification.
- One year of customer service experience.
- Proficiency in computer applications, including spreadsheets and word processing.
- Excellent verbal, written, and listening skills; ability to work at a computer for extended periods; manual dexterity for office tasks; and the ability to communicate effectively.
- Ability to learn and understand basic instructions related to the position.
- Physical and mental qualifications can be performed with or without reasonable accommodation.
- Alternative qualifications may be considered if sufficient to perform job duties.
Preferred Qualifications:
- Bachelor's Degree.
- Experience in academic advising or a related field.
Compensation:
The hourly wage is based on qualifications and experience as determined by HutchCC administration. This is a full-time, 12-month support staff position that is eligible for benefits and is classified as at-will and non-exempt.
