Executive Support Specialist

We are seeking a highly skilled and experienced Executive Support Specialist to join our team at The Larko Group. As a key member of our staff, you will provide exceptional administrative support to our clients and play a critical role in the success of our business.
Key Responsibilities- Calendar Management: Manage and maintain a complex and extensive calendar with multiple changes daily, ensuring seamless coordination of meetings, appointments, and travel itineraries.
- Project Coordination: Format, edit, proofread, prepare, and ensure timely delivery of all designated client projects, demonstrating attention to detail and a commitment to excellence.
- Travel Arrangements: Organize and manage all travel itineraries (both domestically and globally), meetings, and board meetings, providing continuous updates and changes as needed.
- Financial Support: Support the CEO and client relationship, including consultant expenses, client invoices/receivables, and other financial reports, demonstrating a strong understanding of financial concepts.
- File Management: Create and maintain an efficient file management and follow-up system for all processes, ensuring accuracy and integrity of all information.
- Client Communications: Manage client communications, consistently building strong relationships and rapport internally and externally, demonstrating excellent communication skills.
- Database Integrity: Uphold the accuracy, quality, and integrity of all information in the database, ensuring seamless data management.
- Professional Development: Maintain and develop job-related skills by attending company learning programs and keeping up-to-date with job/industry-related reading, demonstrating a commitment to lifelong learning.
- Process Improvement: Generate new ideas through creative approaches and better ways of doing things, contributing to the continuous improvement of our processes and procedures.
- Priority Setting: Set priorities and review progress against goals regularly, ensuring effective time management and task completion.
- Multitasking: Multitask effectively and efficiently, handling multiple tasks and responsibilities with ease.
- Education: College degree desired.
- Experience: 6+ years of administrative experience in roles requiring strong project coordination.
- Business Acumen: Demonstrates business acumen and financial awareness, with a strong understanding of financial concepts.
- Technical Skills: Proficient knowledge of all Microsoft Office products, with experience with Google Docs, Google Drive, and Airtable.
- Communication Skills: Excellent communication skills—verbal, written, and listening, with experience dealing with people at all levels of an organization.
- Professional Services Experience: Professional services experience is a plus.
