Position Overview:

We are seeking a dedicated Front Office Manager who will ensure that every visitor to our establishment receives outstanding service, fostering a welcoming environment that encourages repeat visits. As the initial point of contact for guests, you will play a crucial role in shaping their experience.

Key Responsibilities:
  • Prepare occupancy reports and financial summaries for management review.
  • Oversee the front desk team, providing guidance and training to maintain exceptional service standards.
  • Manage the front desk budget and procure necessary office supplies.
  • Engage with guests both in person and via phone, addressing inquiries and resolving complaints effectively.
  • Lead front desk operations to ensure a memorable stay for all guests.
  • Ensure the well-being and satisfaction of guests, addressing any issues that arise promptly.
  • Supervise the Front Desk, Reservations, and Billing departments.
  • Collaborate with the General Manager and Housekeeping Supervisor to resolve employee-related matters while adhering to company policies.
  • Conduct hiring, training, performance reviews, and disciplinary actions for departmental staff.
  • Provide timely departmental reports as required.
  • Maximize room revenue through effective selling strategies and maintain current promotional offerings.
  • Ensure accurate collection and accountability of all front desk revenues.
  • Facilitate effective communication between the Front Desk and other departments, ensuring all staff are informed of events and group bookings.
  • Keep front desk staff updated on promotions, rates, and property details.
  • Design and implement work plans, addressing guest complaints and enhancing employee performance through constructive feedback.
  • Encourage a positive work atmosphere through effective communication and teamwork.
  • Maintain departmental schedules while balancing guest needs and budgetary constraints.
  • Conduct monthly inventory assessments to ensure adequate supply levels.
  • Control departmental expenses through prudent management practices.
  • Ensure proper operation and training on all departmental systems.
  • Maintain consistent communication with management regarding operational status and guest feedback.
  • Perform additional duties as assigned by management.
Qualifications:
  • Strong bookkeeping skills with proficiency in Microsoft Word and Excel.
  • A minimum of 1 year of experience in the hospitality sector.
  • High school diploma or GED required.
  • Excellent management, communication, and multitasking abilities.
  • Over 2 years of experience in hospitality office management or similar roles.
Minimum Requirements:
  • Eligibility to work in the United States.
  • Must be at least 18 years old.
  • Exceptional written and verbal communication skills.
  • Proficient in a Mac environment.
  • Experience with Property Management Systems.
  • Ability to utilize social media for property promotion.
  • Strong analytical capabilities.
  • Ability to collaborate effectively with diverse colleagues and guests.
  • Capability to follow and give directions.
  • Detail-oriented, courteous, and flexible.
  • Ability to maintain professionalism in high-pressure situations.
  • Proactive in job responsibilities and anticipating needs.
  • Ability to meet deadlines consistently.
  • A cooperative team player willing to support property goals.
  • Willingness to work varied schedules based on guest demand.
  • 2-3 years of experience in hotel operations with increasing responsibilities.
Physical Requirements:
  • Frequent walking, bending, and lifting up to 25 pounds.
  • Occasional stair climbing.
  • Ability to identify and report maintenance or safety issues.
  • Manual dexterity for repetitive tasks.
  • Flexibility to work varied shifts as needed.
