Role Purpose

The Automotive Parts Specialist is responsible for retail sales of parts to customers, whether in-person, via the shop, or over the phone.

Key Responsibilities
  • Assist customers in selecting the necessary parts, recommend complementary items, and inform them of ongoing promotions to ensure they are aware of the complete product range.
  • Retrieve purchased items from inventory. If a part is unavailable, assess its availability and process an emergency order if the customer requests it.
  • Handle incoming calls, providing pricing information and assisting outside sales representatives with their orders.
  • Prepare orders for daily shipping, delivery, or customer pickup.
  • Regularly verify 'will call' and 'back order' files, returning unnecessary items to vendors or restocking them. Proactively reach out to assigned accounts by phone.
  • Support service technicians in identifying parts required for ongoing repairs.
  • Initiate a repair order envelope for all new repair requests.
  • Order parts that are not in stock after consulting with Shop Foremen to confirm their necessity for repairs.
  • Notify the Shop Foreman and customers when ordered parts arrive.
  • Manage parts phone inquiries when the front counter is busy.
  • Ensure that parts are charged out only when a duplicate copy of the repair order and a parts requisition are presented by the technician.
  • Maintain a friendly, professional demeanor while assisting all customers, both in person and over the phone.
  • Provide exceptional service to all dealership departments, mirroring the level of service offered to external customers.
  • Process returns for parts, ensuring the original invoice or its number is available for verification. Any exceptions must receive approval from the Parts Manager or Business Manager.
  • Ensure all chargeback sales are signed by customers.
  • For tax-exempt sales, collect the customer's full name, address, ICC number, and signature.
  • Present customers with the white copy of the invoice after removing the tear strip. For regular cash customers, ensure their cash account numbers are recorded for accurate tracking.
  • In case of a declined credit card, inform the credit department. If unavailable, either refuse the transaction or follow dealership guidelines to release the credit hold.
  • Keep the front and rear counter areas organized and clean.
  • Replenish assigned inventory daily and inform the Parts Manager of any areas needing attention.
  • Stay updated on new products and updates.
  • Engage in all available training programs.
  • Collaborate with the Parts Manager to maintain a Lost Sale Tracking program.
  • Clean computer terminals and printers on a daily basis.
  • Must be legally and technically capable of operating company and customer vehicles.
  • Must be insurable by the company’s insurance provider.
  • Adhere to all company safety policies and procedures, reporting any accidents to a manager or supervisor immediately.
Qualifications
  • High school diploma or equivalent.
  • Ability to read and understand instructions and information.
  • Minimum one year of experience in an automotive parts department.
  • Minimum one year of sales experience.
  • Professional appearance and demeanor.
  • Ability to effectively interact with the public, often managing multiple customers simultaneously.
  • Must wear a dealership uniform at all times.

  • All applicants must perform duties safely.
  • All applicants must demonstrate the ability to pass pre-employment testing, including background checks, MVR, drug tests, credit reports, and possess a valid driver’s license.
