Job Title: Executive Assistant to Chief Executive Officer

Job Summary:

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to the President & CEO of the Boys & Girls Clubs of Oklahoma County. The successful candidate will be responsible for managing the President & CEO's schedule, coordinating travel arrangements, and drafting reports and documents as needed.

Key Responsibilities:

  • Manage and prioritize the President & CEO's appointments, travel, and documents
  • Screen and prioritize incoming communications, ensuring timely responses and appropriate redirection
  • Coordinate with other departments to gather relevant information and utilize available technology to keep staff informed of daily activities
  • Draft and edit various reports, memos, email presentations, and documents as needed
  • Maintain records, databases, and confidential files with accuracy and discretion
  • Assist with special projects, such as outcomes measurement and office tasks, as needed or assigned
  • Manage and coordinate the preparation of Board of Director's meetings, including notifications, agendas, and supporting materials
  • Coordinate all Board meetings, including catering, attendee management, materials preparation, room setup, and technology setup
  • Attend Board meetings and draft minutes for review by the President & CEO, making any updates and saving the final draft for approval
  • Follow up with Board members, management, and staff on any action items identified in Board meetings
  • Ensure the timely distribution of Board reports and other supporting materials to the Board
  • Update contact information and maintain Board records and documentation, including Board minutes, bylaws, financial operations manual, directory, and roster

Requirements:

  • Bachelor's Degree preferred
  • 2-5 years of prior Executive level (C-Suite) experience
  • Proficient in all Microsoft Office
  • Detail-oriented, flexible, and adaptable
  • Exceptional written and verbal communication and organizational skills
  • Absolute discretion with sensitive and confidential information
  • Proactive and self-motivated with a problem-solving mindset
  • Ability to professionally and warmly interact with high-wealth individuals and senior-level executives

  • Organizational/filing
  • Excellent typing skills
  • Presentation preparation
  • Basic accounting or bookkeeping knowledge preferred

Work Environment:

The job requires working, standing, bending, turning, reaching, talking, and listening. The work environment is clean, well-lighted, heated, and ventilated. On occasion, the employee may work outside.
