About the Role

We are seeking a highly skilled and compassionate Client Relations Specialist to join our team at Roman Austin. As a key member of our team, you will play a vital role in managing our client relations and caseload.

Key Responsibilities
  • Client Data Management: Accurately and timely input all new client data into our CRM system, including marketing and contact sources.
  • Marketing Source Attribution: Input data into Google Ad Campaign Dashboard to ensure proper marketing source attribution and processing all new clients through the funnel.
  • Reporting and Analysis: Prepare monthly reports for the Chief Operating Officer to track key performance indicators and make data-driven decisions.
  • Case Management: Organize paperwork and perform data entry in our case management system to streamline new client onboarding and current client files.
  • Clerical Support: Perform miscellaneous clerical tasks as needed, including transcription, research, spreadsheet management, and email writing to ensure operational efficiency.
  • Client Outreach: Help foster prospective client streams by providing input into awareness and law firm partnerships initiatives alongside the marketing team.
  • Scheduling: Set appointments for potential clients that meet our criteria to keep our lawyers' schedules organized and grow our caseload.
  • Client Evaluation: Evaluate prospective client inquiries and phone calls, analyzing their case fit and making sure they feel seen and heard.
Requirements
  • CRM and Case Management Experience: CRM Lead Docket and Filevine Experience are a plus but not required.
  • Language Skills: Bilingual Spanish is a plus and will be compensated as such but not required.
  • Communication Skills: Excellent and empathetic verbal and written communication skills required.
  • Technical Skills: Solid data entry, spreadsheet management, and computer skills.
  • Industry Experience: Background in the legal industry preferred.
  • Software Proficiency: Proficiency with Microsoft Office products, especially Microsoft Excel.
