The role of Fleet Title Coordinator and Administrator encompasses the management of dealership operations for a designated state. Key responsibilities include supervising all vehicles and equipment associated with the state's dealership license, as well as overseeing units disposed of by the general rental division and specialty sectors. Additionally, this position ensures compliance by confirming accurate DBAs/title addresses and sales tax rates, while also providing guidance to sales representatives throughout the sales process.

Responsibilities include handling temporary tags, requesting titles, completing title documentation, and managing other essential paperwork. Furthermore, duties involve overseeing bank financing, conducting smog checks, and processing vehicle weight certificates.

This position requires interaction with various roles within the organization, including District Managers, Branch Managers, Sales Representatives, and personnel from both general rental and specialty divisions.

Key Responsibilities:

  • Effectively manage vehicle sales under the dealership license
  • Confirm customer legal names and registration addresses
  • Ensure accurate sales tax rates
  • Issue temporary tags, request titles, and oversee title documentation
  • Handle bank financing paperwork and coordinate necessary checks and certificates
  • Engage with DMV as required
  • Clearly communicate sales process regulations
  • Update and maintain procedural documentation
  • Enhance and automate processes for improved efficiency
  • Generate regular reports to verify compliance
  • Maintain customer sales records and dealership licenses
  • Perform additional duties as assigned

Qualifications:

  • High School Diploma
  • 3+ years of experience in dealership operations
  • Strong compliance background
  • Excellent interpersonal and conflict resolution abilities
  • Highly organized with a keen attention to detail
  • Ability to uphold high compliance standards
  • Self-motivated and independent
  • Proficient in computer applications (MS Office)
  • Strong multi-tasking and organizational skills
  • Notary certification is preferred
