Role Summary:
The Healthcare Administrative Coordinator is responsible for managing front office operations, which includes welcoming patients, handling phone inquiries, and ensuring that patient files are activated and organized. This position is often the first point of contact for patients, making it essential to provide outstanding customer service.
Key Responsibilities:
The following duties are essential to the role and may be adjusted as necessary:
- Greet patients warmly, both in person and over the phone, maintaining a professional demeanor.
- Conduct pre-visit preparations, including contacting patients for updated insurance information and verifying coverage.
- Register new patients and confirm the accuracy of existing patient records.
- Collect co-pays and process payments as required.
- Answer incoming calls to schedule appointments and serve as a liaison between patients and clinical staff.
- Perform administrative tasks to facilitate a seamless patient experience and ensure timely billing processes.
- Make outbound calls to patients for appointment scheduling.
- Uphold confidentiality and adhere to HIPAA regulations.
- Maintain punctuality and regular attendance as a fundamental responsibility.

Qualifications:
To excel in this role, candidates should possess the following:
- High School Diploma or equivalent.
- Proficient computer skills.
- Preferred: Some college education with a focus on medical, business, or accounting.
- Customer service experience is advantageous.
- Current CPR certification.
- 1-2 years of experience in a clinical or business office setting.
- Bilingual candidates are encouraged to apply.
- Familiarity with EMR systems, particularly Athenahealth, is preferred.
Working Conditions:
Employees in this role will frequently stand, use their hands, and communicate with patients. Occasional lifting of up to 25 pounds may be required. Specific vision abilities necessary for this position include close and distance vision.
