Position Overview:

The Client Support Representative serves as the first point of contact for clients, providing a warm welcome and addressing inquiries. This role involves managing the inventory of resources, troubleshooting equipment issues, and directing client concerns to the appropriate personnel for resolution. The representative is responsible for ensuring a positive experience for all clients and guests visiting the resource center.

Supervision:

Received: Operates under the direct supervision of the Executive Assistant.

Exercised: None.

Compensation: $22.69-$25.43 (Experience will be considered).

Key Responsibilities:

  1. Welcome and greet all visitors to the resource center.
  2. Maintain a positive, empathetic, and professional demeanor towards clients and staff.
  3. Assist clients in accessing their scheduled appointments.
  4. Ensure all client-accessible equipment (copiers, computers, printers, phones, etc.) is operational and well-maintained.
  5. Manage inventory for all client-accessible items.
  6. Monitor the resource welcome center and intake rooms.
  7. Schedule appointments for client consultations.
  8. Conduct inbound and outbound calls as necessary.
  9. Respond promptly to client inquiries.
  10. Review client records, history, and related comments as needed.
  11. Process incoming partner referrals, emails, voicemails, and other information requests, making appropriate program referrals.
  12. Communicate and coordinate with staff and clients regarding requirements related to the Whole Family Approach process and documentation.
  13. Ensure client satisfaction and provide professional support and program-specific information when necessary.
  14. Act as a comprehensive representative of SOUTHERN NH SVC, ensuring successful client interactions.
  15. Exhibit a professional and enthusiastic phone manner, demonstrating exceptional customer service skills.
  16. Maintain professional boundaries with all clients and uphold confidentiality in accordance with company policies.
  17. Adhere to all safety policies and procedures.
  18. Present a professional and positive image as a representative of SOUTHERN NH SVC.
  19. Possess adequate knowledge of all company programs and gather sufficient intake information for beneficial referrals.
  20. Perform other related duties as required.

Required Skills and Abilities:

  • Strong customer service and office administration skills.
  • Proficiency in MS Office Suite (Excel, PowerPoint, Word, Teams).
  • Excellent time management and prioritization abilities.
  • Attention to detail and strong problem-solving skills.
  • Knowledge of and ongoing participation in Whole Family training.
  • Experience with database tracking and office systems.
  • Strong interpersonal and conflict resolution skills.
  • Organizational skills with the ability to multitask.
  • Understanding of the specific aspects of company programs and services.
  • Ability to work with scheduling software and perform data analysis.
  • Ability to thrive in a team environment and provide responsive customer service in a fast-paced setting.
  • Excellent verbal and written communication skills.
  • Highly organized and efficient.
  • Must possess a valid driver's license and be able to travel as needed.

Education and Experience:

  • Experience working with low-income families in a case management setting.
  • Knowledge of the social service system.
  • Customer service experience or training is advantageous.
