Function

The Airport Operations Administrative Support provides critical administrative support to the Airport Operations Division. This role requires strong interpersonal skills, problem-solving abilities, and the ability to manage multiple assignments in a fast-paced environment.

Summary

This role involves providing administrative support to the Airport Operations Directors, managers, and staff. Responsibilities include typing, editing, and proofreading correspondence and other documents, performing data entry, completing reports, and maintaining records. The successful candidate will also be responsible for maintaining appointment schedules and calendars, prioritizing appointments and visitors, and handling logistics for meetings and events.

Key Responsibilities

  1. Provide administrative support to the Airport Operations Directors, managers, and staff, including typing, editing, and proofreading correspondence and other documents.
  2. Maintain appointment schedules and calendars, prioritizing appointments and visitors, and handling logistics for meetings and events.
  3. Perform data entry, complete reports, and maintain records.
  4. Assist with financial processes, including assisting sections with related procurement activities and processing Pre-Purchase Procurement Requests.
  5. Prepare, coordinate, and enter pre- and post-travel documentation for division directors and staff in compliance with the City's travel policy.
  6. Provide courteous and helpful service to internal and external customers, handling complaints and requests, and disseminating information.
  7. Serve as the P-Card delegate for division's directors, section managers, and supervisors, making purchases on behalf of staff in compliance with City and Department policies.
  8. Serve as an Authorized Signer for assigned divisions, responsible for the badging process for employees, including paperwork, application submission, clearance codes/access, and appointment scheduling.
  9. Assist with various administrative Human Resources activities for the sections.
  10. Complete special projects and other duties as assigned.

Requirements

The ideal candidate will have an associate degree in secretarial science, business administration, or a related field, with two years of relevant experience, or a high school graduate with four years of relevant experience. Administrative experience supporting executive-level managers is preferred.
