Position Overview
We are seeking a dependable, organized, and detail-oriented Legal Support Specialist to assist our attorneys and administrative staff. This role encompasses a variety of responsibilities, including document management, legal drafting, occasional research, and comprehensive case oversight. The ideal candidate will demonstrate strong critical thinking, multitasking abilities, and effective time management.
Key Responsibilities
- Submitting documents electronically to various courts
- Preparing litigation documents such as demand letters, complaints, motions, and discovery requests and responses
- Drafting and filing administrative agency charges and responses (e.g., with EEOC and IDHR)
- Reviewing and organizing discovery materials
- Managing case files and activities, ensuring deadlines are met with minimal supervision
- Calculating and scheduling deadlines within the firm's management systems
- Conducting occasional legal research as needed
- Accurately entering billing information (averaging 25 hours/week)
- Communicating effectively with staff, clients, co-counsel, opposing counsel, and other stakeholders
- Participating in regular team meetings
- Utilizing creative and analytical skills for problem-solving
- Assisting in the training of new team members as necessary
- Performing additional tasks as required
Qualifications and Skills
- At least 3 years of experience in a litigation support role
- Essential skills include common sense, critical thinking, time management, organization, teamwork, and clear communication
- Ability to follow instructions attentively and respectfully
- Willingness to collaborate as part of a team
- Capability to work independently, self-monitor, and manage tasks
- Professional demeanor representative of the firm
- Strong organizational and time management abilities
- Proficiency in MS Office, case management software, and electronic filing systems
- Excellent research and analytical skills
- Initiative and commitment to delivering high-quality work
- Strong written and verbal communication skills
- Paralegal certification preferred; experience in employment law is advantageous
- Supervisory experience is highly desirable
Work Schedule
- Monday through Friday, 8:30 a.m. to 5:00 p.m.
- Occasional additional hours based on firm requirements
- Hybrid work arrangement: 3 days in the office after an initial period of full in-office work
