Legal Support Specialist

Job Summary: As a Paralegal at Robbins Schwartz, you will provide critical legal and administrative support in our assigned practice area. Your responsibilities will include defending clients in federal and state courts, working with clients to resolve issues, and managing legal files and various administrative tasks.
Key Responsibilities:
- Prepare correspondence, memoranda, and other legal documents from written or oral drafts.
- Maintain all client and general files, conducting periodic reviews for possible storage or older files, and preparing files to be closed.
- Input attorney time into firm billing software, proof billing sheets, and review and edit bills.
- Maintain attorney calendars, dockets, and contacts as necessary.
- Assist in preparation of case for trial or administrative hearing.
- Assist attorneys with trial preparation.
- Perform tasks such as copying, scanning, bate stamping, indexing discovery, and assist with copy and binding projects.
- Pull cases on Westlaw, research and analyze statutes, recorded judicial decisions, legal articles, treaties, etc.
- Review and analyze discovery process in litigation.
- Investigate facts and law of case to determine causes of action.
- Perform Excel spreadsheet projects.
- Summarize deposition and hearing transcripts.
- Circuit court, Federal court, and Appellate court filings.
Requirements:
- Excellent written and verbal communication skills are essential to perform complex administrative duties in a professional services setting.
- Ability to operate standard office equipment, including personal computer, copier, facsimile, telephone, and Dictaphone.
- Proficiency in Microsoft Office suite, Document Management system, and Juris suite.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Exceptional ability to proofread documents for grammatical, typographical, spelling, and formatting errors.
- Interpersonal skills necessary to follow instructions effectively and communicate in person, by email, and telephone in a courteous manner with both clients, attorneys, and other staff members.
