Role: Administrative Support Specialist

Overview:

  • Assist various departments and personnel in daily operations while adhering to company protocols.
  • Deliver exceptional customer service by welcoming clients, addressing inquiries, and clarifying documentation procedures.
  • Handle documentation for retail and wholesale transactions, auction activities, and vehicle evaluations.
  • Oversee cash handling, prepare financial deposits, and manage safe operations.
  • Support the completion of vehicle title and registration documentation.
  • Guide new team members and provide training on administrative office practices.
  • Conduct clerical tasks including data entry and document organization.
  • Respond to phone inquiries and route them to the appropriate departments.

Requirements:

  • Capability to maintain precise records and effectively prioritize responsibilities.
  • Proficient computer skills, including familiarity with word processing and spreadsheet applications.
  • Strong organizational abilities and meticulous attention to detail.
  • Effective communication skills with both internal teams and external clients.
  • Physical ability to lift items weighing up to 15-20 lbs.
  • Completion of required training as mandated by CarMax.
  • Dedication to confidentiality and reporting any concerns to management.
