As an Administrative Assistant, you will closely collaborate with the Intake and Administrative teams, serving as a key point of contact and resource for both new and existing clients. Your responsibilities will encompass a variety of tasks such as welcoming and scheduling clients and visitors, reminding clients of their appointments, collecting copays and service fees, managing phone calls, and maintaining organized paperwork.

The ideal candidate will possess prior experience in a behavioral health environment.


Compensation

$18.00 per hour.

Work Schedule

Monday - Friday, 1pm - 9pm

Full-time employees qualify for medical benefits starting the first of the month, 30 days post-hire. Options include a standard plan and an HSA plan with an initial contribution of $300 and a match of up to $25 per paycheck. Enjoy 10 paid holidays and accrue PTO at a rate of 10 hours per month. After six months, employees can enroll in our 401(k) plan with a 4% match. Additional benefits include company-paid life insurance, short and long-term disability, in-house training opportunities, and extra pay for holiday work. SouthLight is also an approved employer for the Public Student Loan Forgiveness (PSLF) program.


Key Responsibilities of an Administrative Assistant

  • Facilitates check-in services for all scheduled client appointments.
  • Provides in-person and phone support, delivering information regarding treatment services and general inquiries while connecting clients to the appropriate resources.
  • Utilizes electronic medical records to assist clients and staff with appointment scheduling.
  • Generates reports to ensure the accuracy of client information and staff schedules.
  • Conducts daily appointment reminders to clients via phone and/or email.
  • Collaborates with the Administrative Support Coordinator to prepare and process new client intake paperwork and assist with scheduled intakes.
  • Prepares telehealth rooms and equipment prior to appointments, ensuring successful video connections and providing technical assistance during consultations.
  • Performs skilled keyboarding and accurate data entry within a fully integrated electronic medical record system.
  • Collects and reconciles cash/credit card copays and service fees from clients upon registration.
  • Offers general administrative support for the program, including filing, typing, copying, data entry, and faxing in a prompt and efficient manner.

Qualifications for the Administrative Assistant Role

Education and Experience

  • Minimum of a high school diploma or GED.
  • At least two years of experience in front office, customer service, or a related field; experience in behavioral health is a plus.

Knowledge, Skills, and Abilities

  • Professional interpersonal and communication skills, with the ability to work effectively with a diverse range of individuals.
  • Demonstrated willingness to learn, strong attention to detail, positive attitude, and adaptability in a fast-paced environment.
  • Commitment to a strong customer service focus rooted in empathy.
  • Excellent time management and prioritization skills to handle a high volume of calls.
  • Organizational skills to prioritize workload, meet deadlines, and provide accurate documentation of activities.
  • Ability to interact effectively with individuals from diverse backgrounds and socio-economic classes, including those in crisis.
  • Proficiency in using an electronic medical record system.
