Position Overview:

The Patient Services Coordinator plays a vital role within the integrated care team, ensuring a welcoming environment for patients upon their arrival. This role involves managing the check-in and check-out processes, confirming patient demographics, and collecting any applicable co-pays. The position is dynamic and requires frequent interaction with both colleagues and patients.

Work Schedule:

This is a full-time position with eligibility for benefits. The work hours are Monday through Friday, ranging from early morning to evening. Flexibility to cover additional shifts as needed is essential, as this role may require travel to various clinic locations.

Key Responsibilities:

  • Welcome patients upon arrival, adhering to the organization’s customer service standards.
  • Manage and confirm patient appointments, informing them of necessary documentation or payments required for their visit.
  • Perform data entry tasks within electronic health record (EHR) systems.
  • Complete financial documentation, ensuring all necessary forms are filled out accurately.
  • Verify and update insurance and demographic information during each visit.
  • Collect co-payments when applicable.
  • Answer incoming calls courteously and direct them to the appropriate staff members.
  • Monitor the waiting area to maintain appointment schedules.
  • Review the provider's schedule daily for any updates.
  • Receive and process daily reports for upcoming patient appointments.
  • Balance daily transactions and submit collected payments to the designated supervisor.
  • Distribute daily mail and maintain cleanliness in the lobby and waiting areas.
  • Travel to other clinic sites as necessary.

Additional Duties:

  • Maintain regular attendance and adapt work hours to meet clinic demands.
  • Uphold confidentiality standards in compliance with HIPAA regulations.
  • Adhere to the employee manual and conduct oneself professionally.
  • Participate in all required training sessions.
  • Stay informed about updates in insurance policies and communicate relevant changes to the supervisor.
  • Perform other assigned duties as needed.
