Position Summary:
The Tenant Coordinator plays a vital role in ensuring effective communication and coordination among tenants, asset management, leasing, and construction teams throughout the leasing and development phases.
This position is responsible for managing contracts, overseeing project activities, and handling administrative tasks to facilitate smooth operations and enhance tenant satisfaction.
The Coordinator will oversee all tenant-related activities from the initial letter of intent through lease negotiations, plan coordination, and tenant openings.
Tenant Relations and Coordination:
- Act as the primary contact for tenants, addressing their needs, concerns, and requests.
- Establish procedures for tenant contractors and conduct pre-work meetings.
- Foster relationships to ensure tenant satisfaction and successful openings.
- Monitor on-site construction to ensure compliance with approved plans.
- Notify landlords of any tenant-related issues.
- Conduct regular inspections of tenant construction to identify any issues or safety hazards.
Contract Management:
- Draft, review, and negotiate agreements and amendments as necessary.
- Ensure adherence to lease terms, including plan coordination and contractor responsibilities.
- Proactively track contract deadlines and address potential issues.
Project Coordination:
Assist in managing tenant build-outs and renovations by collaborating with construction teams to schedule work, obtain necessary permits, and ensure timely project completion.
Conduct site inspections to verify work quality and compliance with lease specifications.
Administrative Duties:
- Maintain accurate records related to tenant communications, plans, and contracts.
- Prepare reports and documentation for stakeholders.
- Coordinate billing and invoicing processes.
- Follow up with tenants to ensure timely submission of plans.
Collaboration:
Work closely with Asset Management, Construction, and Leasing departments, participating in regular meetings to provide updates on tenant-related matters.
Qualifications:
- Bachelor's Degree or relevant experience in Retail Real Estate, Construction, Architecture, or Business.
- Prior experience in commercial retail real estate or property management is preferred.
- Strong understanding of lease agreements and tenant relations.
- Excellent verbal and written communication skills.
- Highly organized with exceptional attention to detail.
- Ability to multitask in a fast-paced environment.
- Familiarity with Microsoft Office Suite and YARDI.
- Willingness to travel to job sites as needed.
