Event Marketing Coordinator

At LSPedia LLC, we are seeking a highly skilled Event Marketing Coordinator to join our team. As a key member of our marketing organization, you will be responsible for developing and implementing our conference and trade show strategy to create opportunities for rich interaction that showcase our solutions, differentiation, and ultimately drive preference and demand.

Key Responsibilities:
  • Collaborate with internal stakeholders to determine event goals, target audience, and messaging
  • Conduct research on events and activities, and present recommendations to internal stakeholders
  • Maintain master event list and calendar of events and associated deadlines
  • Manage timelines and budgets to ensure that approved event schedule is executed upon, that administrative tasks and internal processes are followed
  • Manage and serve as department liaison with web, sales and social teams for digital promotion, activation and any other event-related online activities
Event Execution and Management:
  • Manage event logistics, such as contracting, packing, shipping, vendor coordination and travel arrangements
  • Manage sponsorship-related activities as well as executive speaker submissions
  • Support - remote or on-site - event logistics including registration, signage, AV setup, and catering
  • Track event-related expenditures and ensure cost-effective solutions without compromising quality
  • Monitor event progress, handle any issues or changes that arise, and ensure successful event outcomes
Post-Event Evaluation and Reporting:
  • Manage registration code creation and free pass distribution, and track usage for internal reporting
  • Conduct post-event evals to measure the success of events and gather feedback for continuous improvement
  • Analyze event metrics, including attendance, lead generation and customer satisfaction, to assess event effectiveness
  • Prepare post-event reports summarizing key findings, insights, and recommendations for future events
Requirements:
  • Bachelor's degree in marketing, communications, or a related field
  • Minimum 2 years of experience in event planning and management
  • Strong project management skills with the ability to manage multiple events and activities concurrently
  • Excellent organizational and time management abilities to meet deadlines and deliver exceptional results
  • Exceptional communication and interpersonal skills to collaborate effectively with diverse stakeholders
  • Budgeting and financial management skills to ensure cost-effective event execution
  • Ability to travel up to 20% and lift up to 25 pounds for packing and event logistics
Preferred Requirements:
  • Experience in event planning and management in the life sciences or tech industries or B2B sector
  • Familiarity with CRM systems and event metrics tracking for lead generation and ROI reporting
  • Proficiency in digital promotion and online event activations, including coordination with web, sales, and social teams
