Job Overview

Position Summary:
The Finance Operations Supervisor is tasked with managing the daily functions of the finance department, overseeing routine responsibilities, monitoring key performance metrics (KPIs), and ensuring exceptional client service and adherence to deadlines. This position demands strong leadership capabilities, the ability to develop and oversee the team, and regular updates to the executive leadership.

Key Duties:

  • Department Growth and Leadership: Exhibit the capability to expand and effectively lead the finance team.
  • Management of Recurring Responsibilities:
    • Guarantee all recurring responsibilities are logged by the end of each month.
    • Responsibilities must be ongoing, have set deadlines, allocated time, and be assigned to team members.
    • Initiate the documentation of processes through video or written formats.
  • KPI Development and Monitoring:
    • Determine KPIs for tracking (refer to the KPI section for specifics).
    • Complete the KPI tracking document weekly utilizing system-generated reports.
  • Weekly Management Meetings - Reporting to Executive Leadership:
    • Client Engagement: Ensure 90% of client inquiries are addressed within one business day.
    • Deadline Oversight: Ensure 98% of deadlines are achieved by team members (monitored via project management tools).
    • Client Onboarding: Supervise client onboarding processes to guarantee timely integration.
    • Account Management: Identify additional client needs or services.
    • Customer Service Focus:
  • Monthly Staff Reviews:
    • Profitability Monitoring: Assess the average realized hourly rate per client to ensure profitability targets are met.
    • Client Engagement: Ensure 90% of client inquiries are addressed within one business day (monthly reporting).
    • Deadline Oversight: Ensure 98% of deadlines are achieved by team members (monthly evaluation).
  • Monthly Executive Reporting:
    • Profitability Assessment: Review the average realized hourly rate per client to confirm profitability standards.
    • Client Retention Monitoring: Evaluate and report on client retention metrics.
    • Monthly Financial Close: Ensure monthly financial reports are finalized and distributed by the 16th of each month (target date: 10th).
    • Client Inquiry Response Monitoring: Review and report on response times to ensure client inquiries are handled promptly.

Qualifications:

  • Bachelor's degree in Accounting, Finance, or a related discipline.
  • Certified Public Accountant (CPA) designation is advantageous.
  • A minimum of 5 years of experience in accounting or finance, with at least 2 years in a leadership role.
  • Experience in the nonprofit sector is preferred.
  • Strong understanding of accounting principles and practices.
  • Proficiency in accounting software and tools (e.g., QuickBooks, project management software).
  • Exceptional organizational, analytical, and problem-solving abilities.
  • Strong communication and interpersonal skills.
