Position Overview
The Guest Services Coordinator plays a vital role in managing the front office operations and ensuring exceptional guest experiences from check-in to check-out.

Qualifications
  • High school diploma or equivalent is required; a college degree is preferred.
  • Prior experience in hotel front desk operations is advantageous.
  • Familiarity with Hilton OnQ systems is a plus.
  • Background in accounting is beneficial but not mandatory.
Key Responsibilities
  • Facilitate guest arrivals and departures, ensuring a welcoming atmosphere.
  • Manage the registration process by accurately entering and retrieving guest information.
  • Work collaboratively with various hotel departments to enhance guest satisfaction.
  • Communicate essential guest information to relevant personnel.
  • Provide comprehensive information about hotel amenities and local attractions.
  • Maintain the confidentiality of guest and hotel information.
  • Pay close attention to detail to ensure guest room security.
  • Document guest requests and issues promptly, escalating as necessary.
  • Process cash and credit transactions efficiently during guest check-out.
  • Address guest inquiries and complaints promptly, ensuring follow-up for satisfaction.
  • Generate and distribute daily and weekly operational reports.
  • Coordinate with housekeeping to resolve room status discrepancies.
  • Maintain thorough knowledge of hotel features, services, and promotions.
  • Answer phone calls with clarity and professionalism, managing messages effectively.
  • Adhere to safety protocols and report any incidents promptly.
  • Ensure a clean and organized work environment at all times.
  • Perform additional duties as assigned.
  • Assist in balancing and auditing room revenue and related financial reports.
  • Complete and submit daily management and accounting documentation.

  • Proficient in using computer systems for data entry and information retrieval.
  • Able to handle financial transactions with accuracy.
  • General knowledge of local attractions and transportation options.
  • Deliver efficient guest registration and service while adhering to brand standards.
  • Exhibit strong interpersonal skills to manage customer interactions effectively.
  • Ability to recognize and respond to emergency situations.
  • Build and maintain positive relationships with guests and team members.
  • Fluent in English, both written and verbal.
  • Capable of multitasking and prioritizing responsibilities.
  • Regular attendance and flexibility in scheduling are essential.
  • Maintain professional appearance and adhere to uniform standards.
Physical Requirements
  • Some lifting may be necessary; this role requires being on feet for extended periods.

Due to the nature of the hospitality industry, employees may be required to work varying schedules, including weekends and holidays. Attendance at all scheduled training sessions and meetings is mandatory.
