Position Overview

POSITION SUMMARY:

The Member Services Representative plays a crucial role in delivering exceptional service to our members and the community, guided by the principles of our organization. This position is under the supervision of the Associate Executive Director and aligns with our commitment to fostering a welcoming environment.

KEY RESPONSIBILITIES:

  1. Deliver outstanding service to members, guests, and program participants, contributing to member retention through personalized interactions, facility access management, and program registrations.
  2. Manage phone communications professionally, ensuring calls are directed appropriately and messages are conveyed accurately.
  3. Maintain a comprehensive understanding of all programs and services, providing members with timely and precise information regarding schedules, costs, and availability.
  4. Foster connections among members, enhancing their sense of community within the YMCA.
  5. Address and resolve membership inquiries, escalating unusual situations to the supervisor as necessary.
  6. Respond to emergencies effectively and complete required incident documentation.
  7. Accurately input membership and program data into our management system.
  8. Contribute to the continuous improvement of Member Services policies and procedures.
  9. Ensure the Welcome Center and lobby areas are tidy and welcoming.
  10. Perform various administrative tasks, including filing, copying, and preparing mailings as directed.
  11. Follow established procedures for opening and closing the facility.
  12. Manage cash drawer operations at the end of each shift according to established protocols.
  13. Maintain flexible availability to ensure adequate coverage at the front desk.
  14. Communicate promptly with the Member Services Coordinator regarding scheduling needs.
  15. Collaborate effectively with team members to accomplish all assigned tasks.
  16. Adhere to dress standards and wear identification at all times.
  17. Implement all YMCA policies related to member services.
  18. Perform additional duties as assigned.

QUALIFICATIONS:

  1. Certifications in CPR/AED and First Aid required within 60 days of hire.
  2. Completion of Leader Certification within the first 6 months of employment.
  3. Strong interpersonal and problem-solving abilities.
  4. Ability to engage effectively with diverse community members.
  5. Previous experience in customer service or sales preferred.
  6. Basic computer proficiency is essential.

WORK ENVIRONMENT & PHYSICAL DEMANDS:

  • This role requires the ability to perform essential functions effectively, with reasonable accommodations available for individuals with disabilities.
  • Regular use of a computer and communication devices is necessary.
  • Frequent movement around the work environment is expected.
  • Occasional lifting of up to 10 pounds may be required.
  • Specific vision abilities, including close and distance vision, are necessary for this position.
