POSITION SUMMARY

The Administrative Coordinator plays a crucial role in managing the operations of a Powersports dealership. This position is accountable to the Accounting Manager.

KEY RESPONSIBILITIES

  • Prepare daily deposits for processing.
  • Timely preparation and processing of title documentation.
  • Upload acquisitions of used units to the designated shared drive.
  • Complete credit applications and ensure copies are ready for funding.
  • Manage funding submissions for all transactions and follow up to confirm receipt.
  • Ensure timely registration of all sold units, including warranty registrations.
  • Provide Central Support with a daily report of warranty registrations.
  • Conduct petty cash reconciliations monthly.
  • Gather necessary documentation for used vehicles, including titles and lien releases.
  • Prepare and submit all title work to the DMV.
  • Reconcile used title inventory at the beginning of each month.
  • Finalize deals and ensure funding is processed.
  • Maintain the office environment, including organizing deal jackets and various paperwork.
  • Perform any additional tasks as required for the success of the department and dealership.
  • Foster positive relationships with all team members.
  • Adhere to attendance and dress code policies.

QUALIFICATIONS AND SKILLS

  • High school diploma or equivalent required.
  • At least 3 years of experience in a dealership setting, preferably in automotive or powersports.
  • Proficient in data entry.
  • Able to thrive in a fast-paced, high-volume environment.
  • Demonstrated sense of urgency in completing tasks.
  • Strong written and verbal communication abilities.
  • Familiarity with title ownership transfer across all 50 states is preferred.
  • Proficient in Microsoft Office and Google Suite.
  • Ability to understand or learn to interpret NMVTIS reports.
  • Notary Certification is a plus.
