Project Administrator

Job Overview

The Project Administrator plays a crucial role in assisting project managers with the effective management of project data throughout the project life cycle in Dynamics. Key responsibilities encompass project management support, general office administration, preparation and dissemination of engineering reports and proposals, basic financial support, data entry, and various administrative tasks as needed. This role is integral to achieving the strategic objectives and vision of American Engineering Testing Inc.

Key Responsibilities

  • Support project management activities.
  • Deliver comprehensive administrative support for Dynamics projects, including:
    1. Standardized Project Setup
    2. Assistance with Bookings
    3. Invoicing Assistance
  • Collaborate with Project Managers and Marketing on proposal development.
  • Begin to focus on specific areas within the project life cycle in Dynamics or other AET Business Systems.
  • Manage daily project administration tasks, including drafting project documentation and coordinating daily assignments for technicians or other personnel.
  • Facilitate communication regarding essential documentation required for projects.
  • Assist with calibration documentation.
  • Format, proofread, compile, and distribute documentation in accordance with AET corporate standards, including reports, drafts, memos, and brochures.
  • Support daily departmental needs and perform clerical duties as necessary.
  • Assist department staff in meeting project deadlines and other obligations.
  • Prepare and review correspondence, reports, and documents for accuracy and proper formatting.
  • Assist with travel and training arrangements for department personnel.
  • Support sample intake and initial preparation as required.

Qualifications and Educational Background

  • High School Diploma or Equivalent
  • 3-5 years of experience in office administration or customer service
  • Proficient in Microsoft Office 365
  • Experience in supporting a dynamic department or team

Preferred Competencies

  • Strong verbal and written communication skills
  • Exceptional organizational skills and attention to detail
  • Effective time management skills with a proven ability to meet deadlines
  • Strong analytical and problem-solving abilities
  • Capability to learn new software and provide high-level support with AET Business Systems (e.g., Qest, Dynamics, gINT, etc.)
  • Interest in Construction Management
  • Background in Project Management

Work Environment

This position primarily operates in a professional office setting. The role frequently utilizes standard office equipment such as computers, telephones, photocopiers, and filing systems. Occasional fieldwork may be required.

Physical Requirements

Specific vision abilities required for this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
