Job Summary

Key Responsibilities
  • Information Management: Reads incoming material, verifies accuracy, and sorts and codes according to a standardized file system.
  • Storage and Retrieval: Stores material in paper form or enters information into a computerized storage system, and retrieves materials for qualified personnel upon request.
  • Database Maintenance: Maintains a computer database, ensuring accuracy and up-to-date information.
  • File Management: Searches for and investigates information contained in files, inserts additional data on file records, completes reports, and keeps files current.
  • Inventory Control: Keeps track of borrowed materials and ensures they are returned in a timely manner.
  • Disposal and Archiving: Disposes of obsolete files in accordance with established retirement schedules or legal requirements.
  • Document Preparation: Scans materials or copies records, examines materials for legibility, and types labels or reports.
  • System Updates: Implements changes to the filing system when directed to do so.
Requirements
  • Competency: Demonstrates attention to detail, follows policies and procedures, completes administrative tasks correctly and on time, and supports organization's goals and values.
  • Quality: Demonstrates accuracy and thoroughness, looks for ways to improve and promote quality, applies feedback to improve performance, and monitors own work to ensure quality.
