Role Summary:
We are in search of a dedicated Service Coordinator/Dispatcher who will be responsible for overseeing, managing, and directing the activities of the service department and technicians. The ideal candidate will possess a keen attention to detail, a strong customer service orientation, and exceptional organizational skills. This role necessitates a high level of communication with customers, technicians, supervisors, and field personnel. The ability to thrive in a fast-paced, high-volume environment is essential.
Key Responsibilities:
- Coordinate service resources related to operational activities.
- Schedule personnel, materials, subcontractors, and equipment based on project requirements, skill sets, and availability.
- Generate work order documents, dispatch technicians, and inform customers accordingly.
- Engage with customers to ensure satisfaction and address inquiries.
- Facilitate operations interaction with the Parts Department and Acquisition as needed.
- Review project documentation, complete calls, and forward paperwork to Project Administrators.
- Maintain customer satisfaction by investigating concerns, routing them to the appropriate staff, and responding to special requests.
- Log service start-up and service work requirements in the job tracking system.
- Generate and print various assigned reports.
- Demonstrate reliability and dependability in work attendance.
- Function effectively within a team environment.
- Exhibit a pleasant and cooperative demeanor with both internal and external customers.
- Perform other duties as assigned.
Qualifications:
- Associate's Degree in Business or a related field, with a minimum of 1 year of experience in a call center environment; or a combination of education and experience totaling 3 years.
- Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
- Experience in the HVAC, Mechanical Contracting, Engineering, or Construction industries is advantageous.
Skills and Abilities:
Language Skills:
Ability to read and comprehend simple instructions, short correspondence, and memos. Proficient in writing correspondence and effectively presenting information in one-on-one and small group settings.
Mathematical Skills:
Ability to perform basic arithmetic operations and interpret graphs.
Reasoning Ability:
Ability to apply common sense to carry out instructions and address problems involving multiple concrete variables.
Environmental Requirements:
Willingness to work in a field environment, visiting multiple customer sites daily.
Physical Demands:
Regularly required to use hands for computer operation, stand, walk, and sit. Must be able to lift and/or move up to 25 pounds frequently and up to 50 pounds occasionally.
