About the Job:

The Administrative Services Director will oversee the day-to-day operations of our office, ensuring a smooth and efficient workflow. This role requires strong organizational skills, attention to detail, and excellent communication abilities.

Key Responsibilities:

  • Greet clients, staff, and visitors, providing a welcoming and professional atmosphere.
  • Manage phone calls, messages, and conference calls efficiently.
  • Maintain accurate building logs and coordinate access control.
  • Receive and distribute mail, packages, and deliveries promptly.
  • Offer exceptional customer service via phone and in-person interactions.
  • Keep the reception area clean, organized, and clutter-free.
  • Support filing, data entry, and other administrative tasks as needed.
  • Greet walk-in clients, ensuring their comfort while waiting for appointments.
  • Audit client charts daily, weekly, and monthly for accuracy and compliance.
  • Conduct intakes and admissions for new clients.
  • Upload documents into the Electronic Medical Record (EMR) system accurately.
  • Develop partnerships with local schools and businesses to promote our agency's brand.
  • Represent Trinity Social Services at community events to raise awareness and generate leads.
  • Collaborate with upper management on operational matters.
  • Assist in processing staff invoices for timely payroll.
  • Help revise agency policies and procedures as needed.
  • Ensure office compliance with all legal and regulatory requirements.
  • Provide documentation support for insurance claims and referral sources.
  • Oversight of critical incident reporting, emergency, and safety procedures.
  • Consult on ethical issues and resolve dilemmas appropriately.
  • Update marketing materials for staff, clients, and referrals.
  • Coordinate staff meetings and provide support to clinical and medical staff.
  • Audit building operations regularly for efficiency and effectiveness.
