Job Overview

We are in search of a proficient financial expert to become a part of our Receivables Management team, responsible for processing, tracking, and accurately recording payments in a timely and efficient manner. The Receivables Management Specialist will play a crucial role in daily financial transactions, ensuring we remain organized, punctual, and maintain positive relationships with our esteemed customers.

Washington Music Sales Center has been a prominent player in the music retail industry for decades, proudly serving a diverse clientele that includes casual shoppers and esteemed educational and governmental institutions. Our work environment is dynamic yet relaxed, characterized by a close-knit Accounting team. While a passion for music is not a requirement, it certainly enhances the experience.

Key Responsibilities

  • Collaborate with the Receivables Manager to uphold cash processing and Receivables Management system operations.
  • Record customer payments by processing cash, checks, and credit card transactions.
  • Handle data entry and scanning of institutional orders, ensuring price accuracy.
  • Process refunds, returned checks, and uncollectible accounts as directed by the Receivables Manager.
  • Ensure proper invoicing in accordance with standard policies that reflect customer requirements.
  • Finalize transactions by issuing credit memos for adjustments such as shortages, price discrepancies, discounts, and more.
  • Verify receipt of all items, collect necessary signatures, and ensure accurate crediting by reviewing supporting documents.
  • Conduct credit assessments for new clients and establish appropriate credit limits.
  • Work alongside the Receivables Manager to address any issues related to customer accounts and invoicing.
  • Organize and maintain retention files for the required duration.
  • Perform additional tasks as assigned by the CFO and management.
  • Gather and confirm invoices for appropriate documentation prior to processing payments.
  • Maintain Receivables records to ensure aging is current, credits and collections are applied, and discrepancies are resolved.
  • Execute daily cash management duties, including recording bank deposits and updating cash receipt logs.
  • Monitor and collect Receivables by reaching out to clients through various communication channels.
  • Prepare analytical reports and ratio analyses related to Receivables for management review.

Education

  • High School Diploma required.
  • Minimum of an Associate's Degree (preferably in Accounting, Business, Finance, or Economics).

Work Experience

  • At least 2 years of experience in Receivables Management or Accounting/Office Administration.
