Job Summary:

We are seeking an experienced Executive Assistant to support our internal events at the Augustine Institute. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities efficiently.

Key Responsibilities:
  • Plan and organize multiple corporate events, meetings, and conferences simultaneously, ensuring seamless logistics and alignment with strategic objectives.
  • Responsible for keeping events on schedule by closely monitoring the agenda, proactively managing any changes, and ensuring smooth transitions between activities.
  • Coordinate with stakeholders to adjust timelines as needed, while maintaining focus on the event's overall goals.
  • Oversee project timelines, task management, and event budgets, ensuring deadlines are met and resources are effectively allocated.
  • Prepare high-quality PowerPoint presentations for internal and external meetings, ensuring clear communication of key messages and data.
  • Prepare materials for meetings and events, including program materials, agendas, binders, and any other necessary documentation.
  • Act as a proactive liaison between internal/external stakeholders, handling AI event inquiries, coordinating projects, and facilitating clear communication.
  • Manage travel arrangements, including booking flights, hotels, and ground transportation, ensuring detailed itineraries for each trip.
Requirements:
  • Minimum of 8 years of experience as an Executive Assistant or Internal Event Assistant, with at least 5 years of experience in high-level event planning and coordination.
  • Proven ability to manage multiple events and projects concurrently with a high level of organization and attention to detail.
  • Demonstrated expertise in managing complex executive calendars and event planning for high-profile events.
  • Advanced proficiency in Microsoft Office Suite, especially in PowerPoint and Excel.
  • Excellent verbal and written communication skills, with the ability to convey complex information clearly and concisely.
  • Commitment to the Catholic faith and familiarity with Catholic teachings, traditions, and liturgical practices.
  • Strong organizational skills with a proven ability to manage multiple priorities and tight deadlines.
  • High level of discretion, professionalism, and confidentiality.
Salary and Benefits:

This position offers a competitive salary range of $80,000 - $110,000 per year, depending on experience, plus comprehensive benefits package.
