Your Responsibilities:

Key duties include managing and tracking all fire alarm inspections, coordinating schedules for fire alarm and sprinkler inspections, organizing tool schedules including rental equipment, arranging necessary purchase orders for inspections, reallocating work to meet customer expectations, and providing general customer service and call intake.

Take the lead on Inspection Scheduling Tools (IST) and become the champion for XAAP Inspection Reports. Additional tasks and special projects may be assigned by the TSM or Inspection Manager.

How You Will Achieve This:

  • Schedule and optimize fire alarm and fire sprinkler inspections.
  • Input and adjust estimated hours for inspections during the scheduling phase.
  • Assign tasks in ACE for all scheduling.
  • Utilize planning boards effectively.
  • Generate inspection reports as needed.
  • Review and address the BNI report weekly.
  • Examine and resolve on-hold reports for inspections.
  • Demonstrate the ability to prioritize scheduling backorders while addressing customer concerns.
  • Reassign tasks as necessary to manage customer expectations based on current workloads and priorities.
  • Distribute auto-generated inspections to field inspectors.
  • Procure rental equipment as needed.
  • Source external resources if required.
  • Perform additional duties as directed by the TSM or Inspection Manager.
  • Maintain compliance records on the compliance engine for select city AHJs.

What We Seek:

Required:

  • High School diploma or equivalent.
  • Proficient in Excel.
  • Strong verbal and written communication skills.
  • Able to manage a high volume of customer calls.
  • Comfortable in a fast-paced environment.

Preferred:

  • One to two years of experience in dispatching and/or customer service.
  • Experience in scheduling is preferred.
  • Direct experience working with field teams is advantageous.
