Job Summary

We are seeking a highly skilled Construction Document Administrator to provide administrative support services to our internal staff and external customers. The successful candidate will work independently and as part of a team to accomplish a variety of duties, including quality control of architectural and engineering drafting, developing and implementing procedures for electronic document records retention, and managing records retention for our electronic documents.

Key Responsibilities
  • Perform quality control of architectural and engineering drafting in BlueBeam Studio
  • Assist in developing and implementing procedures for electronic document records retention
  • Manage records retention for our electronic documents, including drawings, specifications, and calculations
  • Assist in managing the Electronic Library
  • Perform and oversee electronic construction document preprocessing
  • Serve as the point of contact for technical guidance on formatting electronic documents in accordance with our standards
  • Upload and cross-link documents between BlueBeam, BITS, and SharePoint
  • Evaluate, classify, and log incoming documents through Capout mail in accordance with our policies
  • Assign work tasks in BITS to architectural and engineering reviewers in accordance with our policies
  • Manage and coordinate electronic signing and recording of outgoing electronic Building Official approved sets
Requirements
  • Experience in using menu-driven computer programs to enter and manage data and compile and print reports
  • Knowledge and experience in the use of electronic document management systems
  • Knowledge and experience in the use and application of databases to include verification of accuracy of data, input of data, and creating reports
  • Experience in inventorying and requisitioning supplies
  • Experience in records management
  • Knowledge of the records disposition process
  • Ability to properly and professionally answer telephone calls and receive visitors and to direct calls and visitors to proper office personnel
  • Ability to review documents for key classification data
  • Skill in use of personal computer, copiers, printers, and multi-function devices
  • Ability to prioritize and schedule assigned workload to meet both normal completion schedules and special deadlines established by the supervisor
  • Ability to use word processing software to produce written documents
  • Ability to communicate effectively orally and in writing
  • Knowledge of use of word processor and architectural/engineering terms
  • Must be physically capable of handling moderately heavy building plans on a regular basis
  • Must have good interpersonal skills
  • Valid Virginia driver's license is required as duties may require incidental individual travel
Additional Considerations
  • Familiarity with design and construction documents is desirable
  • Experience with BlueBeam and/or eVA software is preferred
