Position Overview:


Under the supervision of the Medication Safety Officer and the Director of Inpatient Pharmacy, the Controlled Substance Surveillance Pharmacist plays a vital role in ensuring accountability for controlled substances across the Sinai Chicago Health System.

This position actively contributes to the system-wide Controlled Substance Surveillance initiative by performing audits, investigating discrepancies, maintaining reports and dashboards, training personnel on controlled substance workflows, and ensuring compliance with regulatory standards.


Key Responsibilities:


1. Develop and implement best practices for managing controlled substances and preventing diversion.
2. Conduct biannual mock DEA audits to ensure compliance.
3. Ensure adherence to legal and regulatory standards across all health system facilities, including acute care hospitals and outpatient clinics.
4. Create and update policies and procedures to align with regulatory requirements.
5. Monitor and resolve discrepancies related to automated dispensing cabinets in collaboration with the Controlled Substance Surveillance technician.
6. Review controlled substance surveillance software for irregularities and follow up for timely resolution.

7. Identify and report medication errors discovered during the review of controlled substance documentation.
8. Analyze data and compile quarterly findings from controlled substance reports, audits, and investigations to identify trends.

9. Conduct audits of pharmacy processes concerning controlled substances, including transfers to IV rooms and delivery audits.
10. Oversee the reconciliation of controlled substance orders and shipments received into the controlled substance management cabinet (CSM).

11. Conduct thorough investigations of potential controlled substance diversion and prepare accurate reports for leadership while maintaining accessible records.
12. Facilitate and document meetings for the Drug Diversion Prevention Team.

13. Complete monthly controlled substance dashboards and related reports promptly for leadership review.
14. Train new staff, including Pharmacy, Nursing, and Anesthesia, on proper procedures for dispensing, returning, and resolving discrepancies related to controlled substances.

15. Provide ongoing training and mentorship for staff regarding controlled substance workflows and documentation.
16. Oversee the removal of expired or defective medications from CSM and conduct monthly audits of liquid medications.

17. Ensure completion of monthly cycle counts for CSM and secondary vaults.
18. Manage projects and advocate for controlled substance initiatives that support accountability systems and processes.

19. Standardize controlled substance workflows across all Sinai entities to meet operational and clinical needs.
20. Oversee automated medication dispensing systems and assist in optimizing pharmacy automation and technology related to controlled substances.

21. Collaborate with the Director of Pharmacy, Informatics Pharmacist, and Medication Safety Officer to enhance inventory management and technology standardization.

22. Monitor controlled substance recalls, shortages, and allocation processes to ensure effective communication with clinicians and mitigate medication safety risks.
23. Assist with Opioid Stewardship reports and initiatives while maintaining confidentiality regarding patient care and hospital operations.

24. Perform additional duties as assigned.

Qualifications:


1. Graduate of a pharmacy program accredited by the American Council on Pharmaceutical Education (ACPE) is required.
2. Doctor of Pharmacy and completion of a hospital residency are highly preferred.
3. A minimum of 3 years of experience in a hospital or health system setting is required.

Knowledge and Skills:


1. Preferred experience with EPIC and MEDITECH software systems.
2. Strong understanding of federal and Illinois laws regarding controlled substances to ensure compliance with regulations.
3. Knowledge of best practices for controlled substances, including pain management and substance abuse prevention.
4. Ability to prioritize tasks and manage multiple responsibilities effectively.
5. Proficient in computer and analytical skills, with excellent written and verbal communication abilities.
6. Strong working knowledge of Microsoft Office applications (Excel, PowerPoint, etc.).


Certifications/Licenses:
Must be licensed as a Registered Pharmacist in the State of Illinois.
