We are seeking a highly organized and detail-oriented Case Aide to join our team at Graham Windham. The successful candidate will provide administrative support to our program staff, ensuring the smooth operation of our office and the delivery of high-quality services to our clients.
Key Responsibilities- Manage phone messages, handle correspondence, and perform other essential day-to-day activities.
- Update program calendars, track staff schedules, and maintain an administrative filing system.
- Oversee records management, including off-site storage, and create and maintain case records.
- Process new referrals and create intake packets.
- Follow up on unit case work standard contacts and document collateral contacts and services provided.
- Support the Program Director and Program Supervisor in ensuring that PROMIS and CONNECTIONS systems are updated regularly.
- Maintain a clearinghouse of all forms and resources used by Graham Windham Preventive Services.
- Collect and disseminate information on community resources to staff and client families.
- Develop and maintain various types of logs and systems to monitor program activities and outcomes.
- Provide administrative support to ensure program compliance with OCFS and NYC Children's Services' policies and protocols.
- Provide training and technical assistance to program staff in clerical and administrative functions.
- High School diploma required.
- Bilingual English/Spanish preferred.
- Computer literate and working knowledge of MS Office and similar programs.
- Ability to organize, manage, and teach others in various administrative and clerical functions.
- Excellent communication skills, verbal and written.
