Job Overview

Position Title: Event Operations Manager
Reports to: Vice President, Event Operations
Location: NYC/Remote

We are in search of a skilled Event Operations Manager to enhance our Event Operations team. This role involves sourcing, negotiating, planning, and executing a variety of live and digital event formats within the Learning division of CyberRisk Alliance. The ideal candidate will possess a solid background in event management, customer service, and financial oversight.

The successful candidate will be proactive, exceptionally organized, and possess outstanding communication abilities. A positive, solution-oriented mindset is essential.

Key Responsibilities:

  • Oversee pre-event logistics, including vendor coordination, venue communication, audio/visual arrangements, catering, onsite marketing materials, floor plans, travel, and onsite team management.
  • Track and report on event budgets effectively.
  • Manage and maintain virtual events within the designated event platform.
  • Propose and implement process improvements to enhance efficiency in event production.
  • Ensure full compliance with operational delivery tracking of key internal and external deliverables.
  • Provide support for national events on an as-needed basis, including updating speaker-related conference materials.
  • Respond promptly and accurately to customer inquiries through various channels, including email and in-person interactions at events.
  • Source venues and oversee contracts for custom dinners and sponsored events.
  • Travel may be required up to 25% annually.

Qualifications:

  • Minimum of 3 years of experience in event management and production.
  • Experience managing hotel BEOs, contracts, room blocks, and audio-visual orders.
  • Venue contract negotiation experience is a plus.
  • Ability to work independently with high efficiency.
  • Self-motivated, strategic thinker with a collaborative approach.
  • Familiarity with Swoogo (digital event platform) and Salesforce is advantageous.
  • Exceptional organizational, project, and time management skills with keen attention to detail.
  • Proficient in the MS Office suite (Word, Excel, PowerPoint).
  • Interest in information security markets is desirable.
  • Strong oral and written communication skills, with a professional demeanor.
  • Demonstrated ability to work effectively under pressure and meet tight deadlines in a fast-paced environment.
  • Ability to lift up to 20 lbs.
  • Willingness to travel periodically throughout the year to support onsite event operations.
  • Interest or experience in leveraging AI technologies for innovation and efficiency is a plus.
  • Adaptability to a dynamic environment and staying informed on industry trends and advancements in AI technology.

Compensation Information
For individuals assigned to work in New York City, a reasonable estimate of the compensation range for this role is $60,000 to $70,000, exclusive of other compensation benefits.
