Job Summary

The Cleveland Metropolitan School District (CMSD) is seeking a highly skilled Human Resources Coordinator to join our team. As a key member of our HR department, you will be responsible for administering all leave of absence programs, including family and medical leave of absence, non-medical leave of absence, paid parental leave, and military leave. You will collaborate with the Payroll Department to ensure employees are paid accurately while on leave of absence and maintain compliance with leave of absence and employment laws, including the Family and Medical Leave Act (FMLA).

Key Responsibilities
  • Communicate with employees regarding their needs for leave and work accommodations, ensuring they are aware of their responsibilities and any documentation and notice required to qualify for and take leave or apply for an Americans with Disabilities Act (ADA) accommodation.
  • Plan, develop, and implement comprehensive ADA compliance and leaves of absence programs.
  • Receive and process ADA accommodation requests, providing guidance to staff regarding issues relating to disabilities and accommodations.
  • Investigate issues by engaging in employee counseling, fact-finding, and facilitation between employee/manager relationships.
  • Handle the FMLA leave administration process from employees' initial notice of the need for leave to their return to work, including gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
  • Maintain reasonable communication with employees on leave to facilitate smooth and timely return to work, relaying communication between employees and their managers as needed.
  • Advise managers and employees on the interaction of leave laws with paid time off and ADA compliance.
  • Oversee the return-to-work process for employees returning from extended FMLA, workers' compensation, or other leave(s).
  • Facilitate other leave requests, which may include accommodation requests under the ADA.
  • Ensure the District complies with various collective bargaining agreements and state and federal laws as they relate to leaves of absence, fitness for duty, and ADA.
  • Consult with District departments (Legal, Compensation, Payroll, Operations, Contract Implementation Office) to ensure uniform practices and effective collaboration.
  • Administer other company time-off programs as assigned in accordance with internal policy and applicable laws.
  • Draft and/or recommend revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
  • Maintain complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices.
  • Preserve confidentiality of employee medical documentation and files.
  • Maintain knowledge of all applicable leave and accommodation laws, including the FMLA, ADA, and state and local laws.
  • Perform other related duties as assigned.
Requirements
  • Bachelor's degree in human resources or a related field or equivalent training and experience preferred.
  • Minimum of three years of employee experience in a HR-related field preferred.
  • Previous experience working with Unions is highly preferred.
  • Advanced knowledge of federal and state employment, civil rights, and labor laws, rules, and regulations.
  • Strong analytical skills and problem-solving abilities.
  • Ability to establish and maintain effective working relationships with departments, administrators, school officials, and employees.
  • Authentic, effective, and professional communication style, including the ability to communicate effectively in person and by email and phone.
  • Ability to use time effectively and efficiently while managing multiple priorities.
  • Proficiency with MS Office Suite (MS Word, Excel, PowerPoint), OneDrive, SharePoint, Outlook 365.
