Ultimate Staffing Services is in search of a dedicated Executive Assistant to support the Chief Executive Officer. This role is essential in delivering high-level administrative assistance to the CEO and other key executives within the organization. The ideal candidate will be exceptionally organized, proactive, and resourceful, capable of managing various priorities and projects with accuracy and confidentiality.
Key Responsibilities:- Schedule Management: Oversee and coordinate the CEO's intricate and evolving calendar, including the arrangement of meetings, appointments, and travel plans.
- Communication Management: Act as the main point of contact between the CEO and both internal and external stakeholders. Draft, review, and manage all forms of correspondence, including emails, reports, and presentations.
- Meeting Preparation: Organize and prepare necessary materials for meetings, such as agendas, briefings, and minutes. Manage logistics for board meetings and executive committee gatherings.
- Travel Coordination: Plan and manage comprehensive travel itineraries, including transportation and accommodation arrangements, ensuring seamless travel experiences.
- Document Oversight: Create, edit, and maintain various documents, spreadsheets, and presentations while ensuring the confidentiality and accuracy of sensitive information.
- Project Assistance: Support the CEO with special projects, tracking progress and ensuring that deadlines are met while managing multiple projects concurrently.
- Event Coordination: Organize events hosted by the CEO, including retreats and leadership summits.
- Stakeholder Relationship Management: Cultivate and maintain relationships with key stakeholders, including board members and industry partners.
- Office Operations: Ensure the efficient operation of the CEO's office, including supply management and budget oversight.
- Confidentiality Maintenance: Handle sensitive information with the highest level of discretion and maintain strict confidentiality.
- Education: A Bachelor's degree in Business Administration, Communications, or a related field is preferred.
- Experience: A minimum of 4 years of experience as an Executive Assistant, ideally supporting a CEO, with experience in an association or non-profit organization being highly desirable.
- Skills:
- Outstanding organizational and time-management skills.
- Excellent written and verbal communication abilities.
- High proficiency in Microsoft Office Suite and other relevant software.
- Strong problem-solving skills and meticulous attention to detail.
- Ability to work independently and prioritize tasks effectively.
- Professionalism and discretion in handling confidential information.
- Strong interpersonal skills with the ability to build relationships at all levels.
