Position Title: Patient Appointment Coordinator

Overview:

The Patient Appointment Coordinator plays a crucial role in managing the appointment calendar and ensuring an efficient flow of patients within the healthcare facility.

Key Responsibilities:

  • Schedule appointments for all healthcare providers at the center.
  • Assess incoming patient calls to determine the need for transfer to the appropriate personnel, such as nursing staff or medical providers.
  • Promptly review and respond to voice messages from patients.
  • Assist patients in resolving concerns and coordinate appointments that accommodate their needs.
  • Review scheduling history to maintain continuity of patient care.
  • Adhere to scheduling protocols and provider templates for optimal appointment management.
  • Modify provider schedules in response to time-off requests.
  • Prepare and dispatch appointment confirmation letters to patients as necessary.
  • Ensure HIPAA compliance by reviewing patient consents and relevant forms before sharing information.
  • Collaborate with Medical Records personnel to facilitate the new patient onboarding process.
  • Confirm patient appointments and document notes in patient records according to established policies.
  • Document all patient interactions in the PM/EHR system as required.
  • Participate in Patient-Centered Medical Home initiatives as a member of the Clinical Care Team.
  • Perform additional duties as assigned by supervisors or management.

Qualifications:

  • High school diploma or GED is mandatory.
  • Must be receptive to guidance from supervisors and demonstrate the ability to work effectively under pressure.
  • Strong verbal and written communication skills; familiarity with office applications is preferred.
  • Exhibit sound judgment and decision-making abilities when required.
  • Adhere to the organization's code of conduct, safety regulations, and company policies.
  • Conduct job responsibilities in a professional and ethical manner.
  • Ability to collaborate and communicate effectively with colleagues and supervisors.
  • Proficiency in Microsoft Suite and electronic medical record systems is essential.
  • Must maintain a professional demeanor and demonstrate compassion in stressful situations.
  • Understanding of confidentiality and its importance in all aspects of the role.

Compensation:

The salary range for this position is $15.25 to $17.75, depending on experience.
