POSITION SUMMARY

The Recreation Software Administrator is tasked with overseeing, directing, and managing the functionality of RecTrac, the primary Recreation Management System utilized by the District. Additionally, this role involves understanding, maintaining, and enhancing the current registration, facility booking, and membership processes in collaboration with various departments and managers. The Administrator is also responsible for providing basic end-user training in RecTrac and other IT systems, as well as coordinating the extensive use of various IT systems for special events and major registration periods. This position reports directly to the Superintendent of IT and serves as a key technical support contact for the organization.

KEY RESPONSIBILITIES

  • Administer the RecTrac Registration software, including maintenance, user role configuration, archival of seasonal data, and other registration-related tasks.
  • Schedule and conduct training sessions for RecTrac users across the entire software suite.
  • Collaborate with the Customer Service Manager and Finance Manager to develop and maintain process manuals for RecTrac and other systems.
  • Audit, evaluate, and authorize the implementation of RecTrac software upgrades as they become available.
  • Troubleshoot customer accounts, activities, memberships, tickets, and other RecTrac records to assist Customer Service.
  • Provide Tier 1 support to staff on all RecTrac-related issues and escalate to other IT personnel when necessary.
  • Respond promptly and professionally to tickets assigned via the IT Work Order/Ticketing system.
  • Act as a backup for Customer Service, occasionally working in frontline areas when required.
  • Perform duties safely and in accordance with district policies, procedures, and safety regulations.
  • Ensure familiarity with the safe operation of any necessary equipment for task completion.

QUALIFICATIONS

  • Effective communication skills with both internal and external customers.
  • Proficient computer skills necessary for mastering RecTrac software and other District IT systems.
  • Strong technical and professional writing abilities.
  • Understanding of basic project management principles.
  • Knowledge of relevant safety precautions.
  • Ability to foster positive and effective working relationships with colleagues.
  • Commitment to maintaining confidentiality regarding customer accounts and District IT system information.

EDUCATION AND EXPERIENCE

An Associate's Degree, with a minimum of two (2) years of experience in RecTrac or another Recreation Management System, along with one (1) year of Customer Service experience is preferred. Equivalent combinations of education and experience will be considered.
