As a key member of the Quality Assurance Department, you will be responsible for maintaining accurate records that facilitate efficient operations. This includes conducting data analysis and monitoring quality metrics to ensure that quality objectives are consistently met. Additionally, you will provide essential clerical and administrative support to the team.


KEY RESPONSIBILITIES:
Perform data entry for serial numbers and transactions related to buses sold, in-transit, and delivered, which will assist in generating invoices for the Finance team. Collaborate with Finance to coordinate milestone payments.
Prepare bus packets for delivery, ensuring they are organized and ready for the driver.
Support the maintenance of inspection data and quality metrics within the company.
Assist in the creation, posting, and distribution of daily, weekly, monthly, and annual production and quality performance reports. Maintain a production scrap report to support cell team metric meetings.
Utilize Oracle and Microsoft Office applications to provide administrative support and generate metrics as requested by QA leadership.

Manage filing and file maintenance, general typing and formatting of reports and QA documents, and posting miscellaneous QA information on bulletin boards and visibility boards.

Ensure the organization, archiving, and retrieval of production books and other quality assurance documents comply with the New Flyer Document Retention Standard.

Conduct research on past quality data and documentation to assist in investigating current or incoming issues.

Review previous installations, rejects, and Oracle information to support various projects, including gathering information for warranty or recall notices.

Participate in the companywide 5S program by conducting 5S audits within the plant.

Plan, schedule, and lead internal validation audits, including organizing all supporting documents and securing commitments from auditors across different functional groups.

Travel to various locations as part of the Internal ISO Audit group to support audits as needed due to staffing requirements.

Review breakdown invoices and recommend payment approvals in collaboration with relevant coordinators.
Assist in maintaining, distributing, and updating Quality Standards and Quality Alerts.
Review and consolidate Collection Plans in Live QA on a daily basis.
Manage vacation and training schedules.
Order office supplies and process purchase orders for QA needs, prioritizing immediate requirements against budget constraints.
Collaborate with CAD Coordinators and property inspectors, providing assistance in maintaining property inspector offices as necessary.
Act as the point of contact for initial breakdown calls during deliveries from drivers or through relevant assistance channels. Help find repair garages and towing services as needed.

Follow up with assistance channels or garages regarding in-delivery repairs and updates, coordinating with subject matter experts within the organization to facilitate information exchange and repairs.

Serve as the Travel Coordinator for the QA department across all facilities, arranging flights, hotels, and car reservations, and delivering comprehensive travel itineraries.

Act as the backup to the CAD Coordinator in scheduling and coordinating the shipment of buses through various transport methods.

Communicate delivery information to relevant parties. Maintain a sold-not-shipped report and track all conditions that must be fulfilled prior to shipment.
Coordinate with customs coordinators regarding pricing information for coaches, ensuring that customs documents are properly filed for the release of coaches delivered internationally. Work with port authorities when buses need to be loaded onto ferries during transit.
Provide additional administrative duties and clerical support for the Quality Assurance Department as required.

MINIMUM QUALIFICATIONS:
High School Diploma or GED
Experience in office administration or clerical work
Proficiency in MS Office (Excel, Word, PowerPoint, Power BI), SharePoint, data analysis, organizational skills, and interpersonal skills
Willingness to travel up to 10%
Physical requirements include lifting (maximum of 25 lbs.), walking, standing, and sitting for extended periods of time.
