Job Description

Job Summary: We are seeking a highly skilled and experienced Executive Assistant II to provide comprehensive administrative support to senior and executive-level leaders at Sun Health. The successful candidate will play a vital role in ensuring the smooth operation of administrative functions and contribute to the organization's overall effectiveness.

Key Responsibilities:

  • Administrative Support: Provide high-level administrative support to senior leader(s), including managing schedules, coordinating meetings, preparing agendas, taking and publishing meeting minutes, and managing sensitive and confidential information.
  • Reporting and Data Analysis: Produce various reports and interpret data as needed for analysis and special projects. Assist in organizing and maintaining electronic and physical filing systems, and manage databases to ensure accurate and timely data entry.
  • Financial Management: Process invoices according to budget and allocation codes for review and approval of leaders before sending to accounts payable. Assist with budget planning and preparation process as needed.
  • Communication and Customer Service: Serve as a point of contact for internal and external stakeholders, answering phone calls, responding to emails, and handling inquiries promptly and professionally.
  • Document Preparation and Editing: Prepare and edit documents, reports, presentations, and other materials as needed, ensuring accuracy and consistency in all communications.
  • Travel and Event Coordination: Coordinate travel arrangements, including booking flights, accommodations, and transportation. Arrange meetings and events, including scheduling, logistics, and coordination of attendees.
  • Record-Keeping and Compliance: Maintain and update dashboards, records, documents, and files in an organized and accessible manner, ensuring compliance with record-keeping policies and procedures.
  • Special Projects: Provide administrative support for special projects, including research, coordination, and documentation.
  • Problem-Solving and Collaboration: Identify and resolve administrative issues and challenges efficiently, proactively anticipating needs and taking appropriate action to address them. Collaborate effectively with colleagues and other departments to support organizational goals and initiatives.

Requirements:

  • Education: High school diploma or equivalent required; Associate's degree in office administration or a related field preferred.
  • Experience: Minimum 3 years of experience supporting executive-level (Vice President or C-Suite level) leaders in an administrative support role, preferably in a fast-paced office environment.
  • Technical Skills: Technical proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Communication and Interpersonal Skills: Excellent written and verbal communication skills, with the ability to communicate effectively with individuals at all levels of the organization.
  • Organizational and Time Management Skills: Strong organizational and time management skills, with the ability to prioritize multiple tasks to meet deadlines while maintaining attention to detail.
  • Problem-Solving and Decision-Making Skills: Strong problem-solving and decision-making abilities, with the ability to anticipate and identify potential issues, analyze information, and recommend effective solutions.
