Executive Assistant II

At Sun Health, we are seeking an exceptional Executive Assistant II to provide primary support to our Vice Presidents in Talent Solutions and Information Technology, and their teams. This role will also involve administrative support for governing board committees.
Key Responsibilities:
- Provide exceptional customer service to internal and external stakeholders, responding to team member issues with a polite, empathetic, and professional tone and manner.
- Interpret requests and implement action, directing and ensuring that requests for information are relayed to the appropriate staff member in the absence of senior leadership.
- Coordinate, handle, and/or complete recurring projects or one-time projects as directed by supervisors.
- Screen telephone calls and visitors, redirecting them to subordinate management as needed, and providing information to callers on organization policies, practices, and operations.
- Maintain leaders' calendars, arranging meetings, conferences, and appointments without clearance, and arrange function support or hotel and travel accommodations for extended trips.
- Prepare special or one-time reports, presentation materials, summaries, or replies to inquiries, selecting relevant information from various sources.
- Perform a range of administrative support details on a regular basis, requiring initiative and judgment to make independent decisions with moderate effects on cost impacts or organizational outcomes.
- Take minutes of key meetings and prepare them for publishing.
- Responsible for gathering information and compiling dashboards based on frequency required.
- Type and proofread correspondence and communications for proper grammar, punctuation, tone, and accuracy.
- Create and maintain accurate and up-to-date records of office procedures.
- Maintain accurate filing systems for use by the department.
- Help maintain internal websites/portals, creating and editing forms using Adobe Acrobat Pro or similar tools.
- Process invoices according to budget and allocation codes for review and approval of leaders before sending to accounts payable.
- Maintain operations by following policies and procedures and reporting needed changes.
- Maintain customer confidence and protect operations by keeping information confidential.
- Contribute to team effort by accomplishing related results as needed.
Qualifications:
- Associate's degree or higher preferred.
- Minimum 3 years of experience supporting executive-level leaders in an administrative support role, preferably in a fast-paced office environment required.
- Strong working knowledge of administrative/specialized business support services as normally demonstrated through three to four years of administrative support experience at a progressively responsible level required.
- Possess current or ability to obtain a Level 1 Fingerprint Clearance Card is required.
- Ability to travel in own vehicle, current Driver's license and auto insurance is required.
