The Hotel Operations Coordinator will play a crucial role in overseeing various operational functions and guiding team members in their respective tasks within the hotel, under the supervision of the General Manager or designated hotel leadership. This position is essential for ensuring guest satisfaction and the smooth running of hotel operations by supporting back-of-house departments. The Coordinator may assist in multiple areas of the hotel, including Housekeeping, Food & Beverage, Front Office, and Banquets, depending on the hotel's needs. Additional responsibilities may be assigned based on operational demands.
Key Qualifications:
- Minimum of 2 to 3 years of relevant experience in the hospitality industry or a related field is required. A High School diploma or equivalent is mandatory.
- A valid driver's license for the respective state is necessary.
- Ability to communicate information and ideas effectively.
- Capable of evaluating and selecting among various courses of action swiftly and accurately.
- Ability to perform well in high-pressure situations, including resolving guest complaints and disputes satisfactorily.
- Proactive in job performance, anticipating needs before they arise.
- Maintain composure and objectivity in stressful situations.
- Effective problem-solving skills, including the ability to identify, prevent, and address issues as they occur.
- Ability to assimilate complex information from various sources and adapt it to meet specific needs.
- Strong listening skills to understand and clarify concerns raised by guests and colleagues.
- Proficient in handling financial information and basic arithmetic functions.
Primary Responsibilities:
- Engage with guests and team members in a friendly, service-oriented manner.
- Adhere to attendance standards as required by scheduling, which may vary based on hotel needs.
- Maintain high standards of personal appearance and grooming, including wearing the appropriate uniform and name tag.
- Exhibit a warm and welcoming demeanor at all times.
- Comply with company standards and regulations to promote safe and efficient hotel operations.
- Foster good communication and teamwork among associates and across departments.
- Monitor VIP and special guest requests and stay informed about in-house groups.
- Fully understand and execute all relevant phases of the front desk computer system and checklist.
- Familiarize with the Property Management System (P.M.S.) used in the hotel.
- Oversee cash management for servers/baristas/bartenders as applicable.
- Enforce all company policies consistently.
- Ensure all employees are attentive, friendly, and courteous to guests and colleagues.
- Assist in preparing staff schedules according to business forecasts while adhering to wage control and productivity standards.
- Support the food and beverage department, front desk operations, and housekeeping based on demand.
- Participate in training new hires and current associates regularly.
- Assist the Front Office Manager in ensuring compliance with company standards.
- Be knowledgeable about emergency procedures and respond appropriately to emergency situations.
- Assist in monthly inventory and reconciliation processes.
- Address accidents, issues, or guest complaints promptly in the food and beverage department and front desk.
- Respond to all guest inquiries in a timely and professional manner.
- Help maintain productivity levels in line with budgeted standards.
- Perform additional duties or attend meetings and training as required by management.
