Job Summary

We are seeking a highly organized and detail-oriented Program Coordinator V, Career and Technical Education to provide administrative support for our Career and Technical Education programs. The successful candidate will have excellent communication and customer service skills, with the ability to work effectively in a fast-paced environment.

Key Responsibilities
  • Provide exceptional customer service to students, faculty, and staff, responding to inquiries and resolving issues in a timely and professional manner.
  • Coordinate and implement program activities, including information sessions, career fairs, and open houses, ensuring seamless execution and excellent outcomes.
  • Assist with the dissemination of program marketing materials, maintaining a strong online presence and promoting programs to diverse audiences.
  • Maintain accurate and up-to-date customer and contact databases, ensuring data integrity and security.
  • Process purchase orders and check requests, adhering to approved budgets and financial guidelines.
  • Manage program files, maintaining accurate records and ensuring compliance with regulatory requirements.
  • Enter student registration and payment information into the college registration system, ensuring accurate and timely processing.
  • Prepare reports, certificates, and mailings as required, demonstrating attention to detail and excellent communication skills.
  • Order supplies and materials for programs, ensuring timely delivery and effective use of resources.
  • Disseminate instructor packets and classroom textbooks, ensuring accurate and timely distribution.
  • Responsible for the creation and cloning of classes in the college registration system, ensuring accurate and efficient processing.
  • Manage course close-out activities, including the distribution of program certificates and collection of attendance rosters and evaluations.
  • Summarize course evaluations, providing actionable insights and recommendations for program improvement.
  • Assist instructors and administrators with information sessions and program orientations, ensuring excellent customer service and program delivery.
  • Responsible for room scheduling, ensuring efficient use of resources and effective program delivery.
Requirements
  • High school diploma or GED required; Associate degree preferred.
  • Three years' experience in a related professional office environment required. Prior experience in higher education or an educational setting preferred.
  • Experience with Ellucian Banner, Anthology, or similar ERP system preferred.
  • Excellent computer skills, including proficiency in all Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Proficient in accurate processing of forms and data entry; detail-oriented.
  • Ability to work a flexible schedule with varied hours to meet department and college needs.
  • Possess the ability to work well and communicate effectively with diverse stakeholders, including prospective and current students, staff, faculty, administration, and community partners.
  • Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic, and ethnic backgrounds of community college students, faculty, and staff, and a commitment to a student-centered environment.
