About the Role

We are seeking a highly skilled and detail-oriented Senior Intake Coordinator to join our team at VNS Health. As a key member of our Intake Operations team, you will play a critical role in ensuring the smooth and efficient processing of patient referrals.

Key Responsibilities
  • Respond to inbound phone calls and determine customer needs while providing accurate and responsive intake and ensuring customer satisfaction.
  • Respond to and resolve non-clinical issues and complaints in an accurate, effective, and timely manner.
  • Handle and route inbound faxes to designated referral channels and workforce systems across VNS Health.
  • Respond to all electronic platform, phone, and faxed referrals, updating electronic platforms with final referral disposition.
  • Review patient medical records received from referrers and transcribe required information, including demographic, insurance, and clinical information into VNS Health's referral system.
  • Obtain patient insurance and payment information from various sources and submit requested information to the Patient Revenue Cycle Department for home care authorization.
  • Compile patient demographic information using medical records, databases, and paper forms and enter into VNS Health's referral system.
  • Follow up to ensure that all necessary referral information is received and documented, contacting referrers to request specific missing information or documentation as directed.
  • Work within the Intake system to reconcile and mitigate risk inherent in referral processing.
Requirements
  • High School Diploma or equivalency required; Associate's Degree in Business or related field preferred.
  • Minimum two years of customer service experience, preferably in the healthcare industry.
  • Ability to quickly learn and understand medical terminology.
  • Experience entering data, navigating, and retrieving information through a mainframe or similar computer system.
  • Ability to adapt to change and work in a team-based environment.
  • Ability to be persuasive, negotiate to win-win outcomes, and demonstrate exceptional customer service skills.
  • Strong follow-up skills and ability to manage multiple priorities.
