SUMMARY OF DUTIES: The Executive Assistant II manages a range of responsibilities to ensure smooth operations within an organization. This position typically supports high-level executives by performing advanced administrative duties. SPECIFIC DUTIES & RESPONSIBILITIES: Handle confidential information with utmost discretion. Act as the first point of contact for internal and external communications. Prepare departmental budgets, track expenses, and process invoices. Oversee office supplies, technology, and administrative systems. Delegate tasks, set priorities, and monitor workflow. Assist with special projects, ensure deadlines are met. Anticipate the needs of executives and proactively resolve issues. Coordinate conferences, meetings, travel arrangements, and company events. Review contracts and ensure the company is adhering to compliance regulations, industry standards, and best practices. Serve as the liaison between departments and executives to ensure seamless communication. Build relationships with stakeholders, clients, and vendors. Research and compile data for reports and presentations. Analyze data to identify trends or inefficiencies. Represent executives in their absence when necessary. Supervise and/or mentor other administrative staff. All other duties as assigned. QUALIFICATION REQUIREMENTS: SKILLS: Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Proficient in Microsoft Office Suite or related software. Ability to multi-task, prioritize, and assess urgency. Excellent organization and attention to detail. Ability to function well in a high-paced and at times stressful environment. EDUCATION: High School Diploma required. Bachelor’s degree in Business Administration or related field preferred. WORK EXPERIENCE: Minimum of 3 years in an executive assistant level position or related experience. PHYSICAL REQUIREMENTS: Visual acuity to process paperwork. Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.
