The Medical Records Clerk is a member of the Health Administrative team and works directly with Health Systems to fulfil the specific needs of medical records management. They are responsible for records releases, processing of requests, and compliance with state and federal regulations as well as HIPAA. They will ensure the information contained in all patient records is complete, accurate, and secure. They will be responsible for retrieving and providing records and data for internal departments or patients, as needed. This role requires strict HIPAA compliance and is responsible for safeguarding all patient medical documentation on behalf of the organization.

Essential Functions:

  • Works closely with administration and staff to support the requests from patients and outside entities with obtaining records to support the patients care.
  • Prepare, assemble, and audit medical records information in accordance with medical record policies and procedures.
  • Retrieve, collect, and prioritize all request for medical records made through the organization, patients, and affiliates.
  • Record and track all records requests, releases, and authorizations within the system.
  • Verify legitimacy, accuracy, and authority of all such requests and then process and invoice as appropriate.
  • Review and comply with standards and procedures for processing medical records requests with administrative support.
  • Maintain an up to date understanding of applicable policies, processes, laws, and regulations.
  • Report breaches, instances of non-compliance, patient complaints, problems, or similar instances to supervisor to protect patient HPI.
  • Assist patients, guest relations and others with medical records requests and questions.
  • Maintain confidentiality and protect the Practice by abiding by laws and principles related to confidentiality; keep information concerning Practice Operations, patients, and employees confidential.
  • Effectively supports ad-hoc and non-recurring projects while still satisfying requirements of regular daily assignments.
Qualifications:
  • High School Diploma or equivalent
  • CEHRS preferred
  • 1+ years' experience preferred; college degree may substitute
  • MS Office required
  • EMR preferred
  • Ability to work a temporary assignment
  • Ability to work a hybrid schedule in Miami
Knowledge, Skills, and Abilities:
  • Good organizational skills to handle multiple priorities while remaining professional and calm.
  • Ability to work with many diverse people.
  • Effective communication skills.
  • Strong level of confidentiality due to sensitivity of materials and information handled.
  • Ability to work independently and be self-directed and flexible.
  • Ability to prioritize.
  • Ability to perform functions with minimal supervision.


This role is onsite 3+ days a week and is temporary for busy season. The hourly rate is $18.00, paid every Friday.
