Job Summary

The Records Coordinator will be responsible for maintaining the accuracy and completeness of student records and schedules. This role will provide support to the Records Lead and supervise the Records Clerk, if applicable.

Key Responsibilities

  • Manage student records and schedules in the absence of the Student Records Manager.
  • Ensure the confidentiality of sensitive information, including operating policies and procedures, handbooks, data, employee and personnel information, program information, contract proposals, financial information, student information, and other confidential data.
  • Audit and verify separating student records for accuracy, validity, and integrity.
  • Maintain accurate and complete student records to facilitate timely submission of required reports.
  • Deploy CPP and CDP records successfully.
  • Ensure compliance with CIS database management program requirements and provisions.
  • Comply with USDOL and Job Corps guidelines regarding student accountability and required documentation.
  • Assist students with matters concerning pay, allowances, leave, travel, etc.
  • Train Records Clerks and other department staff in the maintenance and completion of student records, ensuring compliance with applicable USDOL requirements, PRH, CIS, and other directives.
  • Maintain accurate and complete student records to facilitate timely submission of required reports, including morning reports, weekly reports, leave records, allotments, enrollment, pay, etc.
  • Implement program integrity per Adams SOPs, PRH, and Job Corps regulations.
  • Provide superior customer service at all times.
  • Provide required/supplemental training for new and current employees.
  • Mentor, monitor, and model the Career Success Standards as required by the PRH.
  • Show respect and courtesy to students and hold them accountable for their actions and behavior.
  • Provide quality services for students and ensure that quality is maintained and student needs are met.
  • Exchange ideas and information, both orally and in writing, in a clear and concise manner and contribute meaningfully to group efforts by offering relevant ideas and knowledge.
  • Effectively articulate thoughts and ideas, identify problems, analyze causes, and evaluate appropriate solutions prior to taking or recommending actions.
  • Follow up to ensure prompt/appropriate action is taken and that problems are in fact corrected.
  • Work in partnership with staff from all Departments to ensure effective supervision and services are provided to students.
  • Accept direction and supervision from the Center Director/Center Duty Officer/Shift Manager, including assignments to temporarily perform job responsibilities of other departments and positions.

Qualifications

The ideal candidate will have a High School Diploma and an Associate Arts Degree from an accredited school in Data Processing, Business Management, or a related area. Computer literacy and proficiency in the Microsoft Suite of applications are required. Supervisory experience is desired.
