SUMMARY:

The Executive Assistant/Credentialer assists the CEO and the Administrative Staff and coordinates medical staff functions to maintain Federal, State and other licensing regulatory standards. Create and carry out various credentialing processes in relation to physicians, medical assistants and various other healthcare professionals. Ensures that all personnel and services adhere to facility and staff policies, department guidelines, regulations and government laws. Processes applications and reappointment paperwork, checking for completeness and accuracy. Maintain and update accurate databases for both practitioners and facility. The Credentialer must maintain records for regular auditing purposes and stay in close communication with all appropriate practitioners to ensure that records are up-to-date and consistent. Acts as a liaison between administration and hospital medical staff.

Job Functions:
  • Process all initial, renewal and temporary applications for Medical Health Staff appointments and clinical privileges to meet policies and procedures, Medical Staff Bylaws, and regulatory and accreditation standards of State and Federal Agencies.
  • Communicates directly with Hospital CEO, Medical Staff President and physicians on a daily basis or as needed to complete privileges.
  • Initiates and finalizes medical privileges process.
  • Maintains up-to-date and orderly credentialing system database and filing.
  • Supports CEO and other Administrative personnel as Executive Assistant
OPERATIONS AND SUPPORT SERVICES:
  • Responsible for managing an Advocacy Team rotation list.
  • Responsible for maintaining a running account of the patients within the facility and their assigned advocate.
  • Establishes, implements and ensure that Medical Staff Services practices and procedures are in accordance with regulatory and accreditation agencies and overall hospital policies.
  • Interprets and applies medical staff By-Laws, Rules and Regulations; and department rules and regulations as they apply to credentialing, reappointment and functions of established committees. Initiate or assist in initiating proposed amendments.
  • Educates and assists medical staff officers, department directors and other health care professionals in the development of mechanisms to assess physician performance, identify potential risks and take decisive action when appropriate.
  • Serves as liaison between the medical staff, administration, ancillary departments and patients in matters pertaining to medical staff.
  • Directs and assumes responsibility for maintenance of accurate, current confidential files, and computer program date for medical staff members.
  • Processes all initial, renewal, and temporary applications for Medical Health Professional Staff appointments and clinical privileges.
  • Submits complete credentialing materials to Hospital CEO and Medical Staff President for approval.
  • Maintains up-to-date physician database(s), including medical licenses, drug enforcement administration certificates and professional liability insurance, and renewal period expiration dates.
  • Communicates with Hospital CEO and Medical Staff President monthly about expiration reports and provide rosters when requested.
  • Reports at Quarterly Medical Executive Committee the status of approvals, withdrawals, resignations, temporary privileges, and any medical suspensions.
  • Maintains organized credential files and assists with inspections by regulatory authorities or accreditation surveyors.
  • Queries electronically the National Practitioner Data Bank for initial appointment, reappointments, change in privileges, and temporary privileges for each facility.
  • Verifies Medical Health Staff licenses for initial appointment, reappointment, license renewal, and temporary privileges.
  • Meeting frequency between Credentialer, Hospital CEO and Medical Staff President will be discretionary. Daily/Monthly visits will be coordinated between Credentialer and CEO for routine filing and communications.
  • References affiliation and evaluation requests from healthcare entities will be completed and approved by the Medical Staff President.
  • Documents compliance with Ethics and Corporate Compliance, Licensure and Certification requirements. Monthly verifications are conducted, and findings are reported on a quarterly basis and provided to the Medical Executive Committee.
  • Other duties as deemed necessary by Hospital CEO.

Education

Bachelor's degree preferred.Equivalent years of experience may be substituted for education requirement. Minimum of two (2) years' in both assistant and credentialing experience.Experience in a health care setting preferred. Current knowledge of medical legal issues, laws, and regulatory agency requirements and standards as well as current credentialing processes required.

License/Certification

Current Certified Medical Staff Credentialer. If not currently certified, employee must maintain certification throughout employment.If not currently certified, certification must be obtained within 12 months of date of hire into the position.

OTHER REQUIREMENTS:

Participates in or conducts company-wide sponsored training to safeguard against improper use and disclosure of patient's protected health information.Monitors and ensures compliance with company policies, procedures, state and federal regulations and Accreditation Standards.

  • Consistently follows departmental and hospital Health, Safety, Security, Hazardous Materials policies and procedures.
  • HIPAA: Conduct job responsibilities in accordance with HIPAA privacy laws, follow hospital policy in provision of patient confidentiality. Able to identify patient confidentiality issues and reports to proper hospital personnel immediately.
  • Compliance: Conducts job responsibilities in accordance with standards set forth in Code of Conduct, policy and procedures, applicable federal and state laws, and applicable standards.
