JOB DESCRIPTION
- FULL TIME
Location: Tulsa, OK

To provide administrative support to the Director of Student Accounts and the department.
RESPONSIBILITIES
1. Assists the Director in wide variety of tasks including communication with office staff, other departments, students, and persons outside of university.

2. Receives all petitions, collects information from student, computer screens and other staff, submits to director for signature. Assists with initial review process for digital petitions and communicates with students as needed.

3. Apply payments to students' accounts and answer questions as necessary. Review accounts for registration steps and complete registration.

4. Coordinates Study Abroad Website and student details related to study abroad. Prepares requisitions for student study abroad payments as needed.

5. Delivers outgoing mail, collects and distributes incoming mail. Makes sure PO box rent is requisitioned in a timely manner each year with invoice submitted to Accounts Payable for payment.

6. Compiles lists and other required reports for the Director.

7. Orders, monitors, and maintains office supplies and forms inventory. Prepares any office requisitions needed.

8. Reviews and works with Accounting on Outstanding Refund check list and Stale dated refund check list.

9. Reports facility repairs and maintenance needed including copier, office lights, cleaning, trash pick up, etc. Requests digital signage postings as needed.

10. Maintains paper and digital files and logs of departmental transactions, as required.

11. Logs in all Incoming payments received through the mail. Helps with logging all outgoing refund checks including Registered Mail portion.

12. Scans outside scholarships to Financial Aid for posting. Scans all incoming wires and returned payments to Accounting. Distributes work to Staff.

13. Oversees department email account, responds and notes responses on students' accounts. Works with other staff to coordinate accurate answers to student questions and provide excellent customer service.

14. Answers phones and answers student accounts questions.

15. Provides pertinent information for all office staff to aid in customer service including yearly pricing and semester dates and details.

16. Data entry of daily batches of adjustments to students' accounts.

17. Covers for other office staff for lunches, vacations, and leaves of absence as needed including working the teller line.

18. Performs other tasks as required by management.
REQUIREMENTS
EDUCATION:

Requires a High School diploma or GED.

EXPERIENCE/SKILLS/ABILITIES:

Requires two years of administrative experience and keyboarding skills with accuracy. Must be computer literate to include Microsoft Word and Excel. Good reading, mathematical, grammatical, organization, and interpersonal skills a must. Good written and verbal communication skills are a must in regards to consistent and accurate communication with administration, staff, parents and students. Must have the ability to work effectively with staff, administration, and those from varying cultural backgrounds. Must be able to multitask in a very busy work environment.

Banner Software experience is helpful but not required.

Fluent in Spanish is helpful but not required.

Must maintain a high level of confidentiality of information.

Maintains compliance with the Family Educational Rights and Privacy Act (FERPA) policy and its' procedures.

HOURS OF WORK & ATTENDANCE
Normal hours are Monday - Friday, 8:00 am - 5:00 pm. Occasional overtime may be required during peak seasons.
