Job Title: Program Finance Manager

Department: Legal, Organizing, & Advocacy

Unit: Program Administration & Evaluation

Reports to: Deputy Director of LOA (primary), Director of Finance (supplementary) 

FLSA Status: Exempt

Hours: Monday-Friday, 9am-5pm

Work Model:    This is a hybrid position, requiring in person work 1-2 times per week at the main office 

in Manhattan. 

SUMMARY OF RESPONSIBILITIES:

The Program Finance Manager serves as the primary point of contact and liaison between Finance and Program staff to facilitate timely and accurate contribution to critical Finance functions including staff and expense allocations, monthly close, periodic review/sharing of financial reporting, and ultimately development of an annual budget and periodic reforecasts. It is focused on administration and information organization to ensure timely data collection and flow between program and finance, so all team members have the content they need to make informed decisions. 

This position’s primary supervisor is the Deputy Director of LOA and it will receive functional matrix supervision from the Controller for technical finance issues. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Budgeting, Recordkeeping, & Audit

  • Maintain timely, accurate, and complete Program finance contributions to NMIC’s central grant information warehouse.
  • Maintain regular updates of staff allocations by grant. 
  • Execute credit card payments on behalf of the department. 
  • Own and maintain department non-personnel expense allocations including invoice receipt; capture, coding, and approval in BILL/Tallie; and timely payment. 
  • Monitor program vendor contracts to ensure they remain current, and that all terms are followed. 
  • Execute reconciliation between Fiscal and Program records, budget vs. actual reporting, and preliminary review and identification of areas to address (with a particular focus on program cost projections versus actual spending). 

Program Administration

  • Manage emergency grant financial recordkeeping, reconciliation, and funder reporting. 
  • Provide monthly internal audit and reconciliation of child care vendor payments. 
  • Distribute MetroCards to for program staff and client use. 

Training & Education

  • With support from the Grants Manager, develop a working knowledge of nonprofit business operations and federal/state/city/private grant and contract funding mechanisms and compliance and support program staff training.
  • Serve as point person for all departmental Finance-related questions to directly provide answers or escalate as appropriate. 

Communication & Coordination

  • Serve as primary liaison between Finance and Program leadership. 
  • Coordinate Program input when developing department and program budgets. 
  • Attend Finance team meetings as a member of the Finance team and Program team meetings as a member of the Program team. 
  • Additional related responsibilities may be assigned. 

QUALIFICATIONS

  • Preference to candidates with an MPA or other nonprofit management/finance degree. 
  • Broad base of relevant technical knowledge and problem-solving skills related to Program Administration. 
  • Strong computer skills including spreadsheets (Excel, Google spreadsheets, etc.), presentation software (PowerPoint, Keynote) and office suites (e.g., Microsoft Office, G Suite).
  • Process oriented, and quick learner, with the ability to suggest improvements.
  • Strong time management skills with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
  • Strong written and verbal communication skills, including Zoom and telephone communication.
  • Must adhere to all professional standards and ethical practices, including creating and maintaining healthy boundaries and professional relationships with all relevant stakeholder groups.
  • Strong relationship builder with experience collaborating successfully with a broad and diverse range of individuals and communities desired.
  • Demonstrated ability to work independently and in teams and maintain professional working relationships with organizational staff and partners.
  • Commitment to deepening cultural diversity and humility.

BENEFITS: NMIC offers a generous benefits package including medical, dental, life, and disability insurance; paid time off consisting of 20 vacation days, 15 sick days, 5 personal days, 11 agency holidays, plus the week off from Christmas Eve through New Year's Day; a 401k with agency contribution; and other benefits.

SALARY: $75,000 annually
