We are looking for a Administrative Coordinator to join one of our Fortune 500 clients.
Job Summary:
The Program Coordinator will oversee and manage assigned programs, projects, or events, ensuring smooth operations and effective outcomes. This role requires developing and implementing administrative systems to organize activities and maintain records, reports, budgets, and plans. As the main point of contact for inquiries, the coordinator will communicate with potential customers, participants, and academic collaborators, delivering accurate information and support. The position also involves maintaining web pages, websites, or other program materials as needed.
Key Responsibilities:
  • Coordinate and oversee specific programs, projects, or events, ensuring all tasks are completed accurately and on schedule.
  • Develop and maintain administrative systems for managing project or program activities, records, and documentation.
  • Serve as the primary information source, responding promptly to inquiries from customers, participants, and collaborators.
  • Prepare, manage, and track program budgets, reports, and plans, ensuring all financial records are up to date.
  • Update and maintain online and physical program materials, including webpages or informational packets.
  • Work independently, exercising sound judgment and minimal supervision to prioritize tasks and meet deadlines.
  • Utilize office software (such as MS Office Suite) proficiently to manage and track program documentation and communication.
Qualifications:
  • 2-3 years of relevant experience in program coordination, project management, or administrative support.
  • Strong interpersonal and communication skills with the ability to interact effectively with various stakeholders.
  • Demonstrated ability to plan, organize, prioritize, and track multiple tasks independently.
  • Basic to intermediate proficiency in common office software (e.g., Word, Excel, PowerPoint).
  • Ability to work both independently and as part of a team in a fast-paced environment.
Preferred Qualifications:
  • Experience in web maintenance or familiarity with web content management systems.
  • Previous experience in a customer service or academic support setting is a plus.
