Position Summary

The Administrative Assistant will provide support to the daily operations of the office and will provide a variety of support to various corporate office functions. This position will greet visitors, answer phone calls, maintain office supplies, and coordinate additional responsibilities to ensure smooth operations within the organization.
Areas of Responsibility
  1. Be the primary point of contact for incoming calls, mail, greeting visitors, addressing basic inquiries, and directing information to the correct person internally or externally, relaying messages quickly and accurately.
  2. Process, manage, and direct all incoming and outgoing mail and packages, including certified mail, overnight mail, inter-company mail, faxes, forms, and memos.
  3. Be the primary point of contact with external marketing firm by coordinating all required information between the company and the external firm.
  4. Manage progress and final photo/video schedule for social media and intercompany displays.
  5. Coordinate groundbreaking and ribbon cutting ceremonies from the direction of project managers.
  6. Facilitate JHI job project signage and coordinate purchasing new signage when appropriate.
  7. Track project closeouts to ensure Featured Jobs are completed and testimonials are requested.
  8. Be the primary point of contact for external events ensuring timely communication with external stakeholders, ensuring directions and parking map distributed, and assist visitors in the office.
  9. Coordinate, organize, and aid in the planning for all company events and parties (pizza days, picnics, Christmas, retirements, etc.)
  10. Manage employee clothing embroidery program.
  11. Schedule appointments and meetings for executives and committees while organizing meeting room reservations and ensuring necessary equipment and materials are set up.
  12. Assist in general office duties, including photocopying, scanning, filing documents, processing field supervisor paperwork, and maintaining databases or electronic systems ensuring accuracy and completeness of records.
  13. Input and update information into databases or electronic systems ensuring accuracy and completeness of records.
  14. Maintain office supplies by checking inventory and placing orders as needed.
  15. Collaborate with office staff to ensure seamless operations.
  16. Support the organization on various administrative tasks not identified above.
Education, Experience, License, and Skill Requirements
  • High school diploma or equivalent.
  • Proven experience in a similar administrative or front desk role.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office Suite and basic office equipment.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and accuracy in work.
  • Ability to maintain confidentiality and manage sensitive information.

Working Conditions
  • This role involves working in an office environment during the hours of 7:30am-3:30pm. Occasionally, flexibility in working hours will be needed based on events and business needs.
